You will be responsible for managing and maintaining executives" calendars by scheduling appointments, meetings, and conferences. Additionally, you will attend and coordinate Zoom/online meetings, prepare and organize documents and presentations, and take minutes during meetings. It will be your duty to distribute summaries to relevant stakeholders and collaborate with various departments to ensure high-quality content. Handling incoming communication, including emails, calls, and correspondence, and responding or redirecting as necessary will also be part of your role. You will assist in managing and tracking expenses, invoices, and budgets while upholding a strict level of confidentiality. Organizing and coordinating travel arrangements for both domestic and international travel, including bookings and itineraries, will be one of your tasks. Furthermore, you will conduct research, gather data for various projects and reports, and identify and liaise with vendors, negotiating contracts and ensuring timely delivery of services. Your ability to multitask and prioritize daily workload, as well as maintaining an organized filing system of paper and electronic documents, will be essential for this position.
