Order Management Executive

We are seeking a dedicated and detail-oriented Order Management Executive for our Surat-based jewellery manufacturing setup. The role involves end-to-end order handlingfrom receiving orders and coordinating production to performing quality checks, managing documentation, and ensuring timely dispatch to retail locations. The ideal candidate will be proactive, well-organized, and experienced in operations, vendor management, and manufacturing workflows, preferably within the jewellery industry.

Key Responsibilities

1. Order & Production Management

• Manage daily orders and coordinate with the central operations team.
  
• Ensure timely processing, production scheduling, and delivery tracking.
  
• Monitor each order from initiation to dispatch.
  
• Maintain accurate records of order status and timelines.
  

2. Financial & Compliance Documentation

• Maintain vendor invoices, purchase orders, and expense statements.
  
• Support vendor payment reconciliation and ensure GST/tax compliance.
  
• Coordinate with the accounts team for audits and documentation.
  

3. Expense Management

• Track daily and monthly operational expenses.
  
• Submit verified expense reports and petty cash statements for reimbursement.
  

4. Cross-functional Coordination

• Liaise with design, studio, inventory, operations, and accounts teams.
  
• Act as the key communication point between the Surat facility and the head office.
  
• Provide regular updates and reports on order processing and factory operations.
  

5. Facility, Maintenance & Management

• Oversee the upkeep and cleanliness of the manufacturing unit and office.
  
• Ensure machinery, tools, and equipment are in proper working condition.
  
• Manage repair schedules, servicing, and AMC follow-ups.
  

6. Documentation & Record-Keeping

• Maintain logs for orders, quality checks, reworks, and dispatch records.
  
• Digitally update reports, QC documents, and images for internal use.
  

7. Procurement & Resource Management

• Coordinate procurement of raw materials (gold, diamonds, gemstones, etc.).
  
• Maintain and track stock levels and material consumption.
  
• Manage vendor relationships to ensure timely material sourcing.
  

8. Repairs & Maintenance Oversight

• Track maintenance cycles for equipment and tools.
  
• Coordinate repair work and monitor vendor performance.
  

9. Additional Responsibilities

• Assist with CRM updates and data entry.
  
• Prepare reports on TAT, order delays, cost analysis, and process metrics.
  
• Support audits and ensure compliance with safety and operational protocols.
  
• Recommend and implement workflow improvements.
  

Key Requirements

Education

• Minimum:

  Bachelor’s degree in Commerce, Business Administration, Operations Management, or related fields.

• Preferred:

  MBA in Operations/Supply Chain or Diploma in Jewellery/Retail Management.

Experience

• 2–5 years of experience in order management or operations, preferably in the jewellery or luxury goods sector.

• Strong organizational and follow-up skills

• Good knowledge of inventory/order management systems
  
• Proficiency in MS Excel, Google Sheets, and tracking tools
  
• Basic understanding of billing, taxation, and compliance
  
• Strong communication skills (Hindi, English, Gujarati preferred)
  
• Problem-solving ability and attention to detail
  
• Ability to multitask and work independently under pressure
