Job Description

Role & responsibilities

1. Hospital Operations Management

  • Supervise and monitor daily hospital operations including front office, housekeeping, security, maintenance, and cafeteria services.
  • Ensure smooth functioning of inpatient and outpatient processes to deliver high-quality patient service.
  • Oversee patient admission, discharge, and transfer procedures for operational efficiency.
  • Ensure availability of adequate manpower, infrastructure, and support services across departments.
  • Coordinate with the medical, nursing, billing, and finance teams for seamless workflow.

2. Facility & Infrastructure Management

  • Ensure hospital premises, wards, and equipment are maintained in excellent condition.
  • Coordinate preventive and corrective maintenance with engineering/biomedical departments.
  • Oversee housekeeping, sanitation, and waste management in compliance with NABH and statutory norms.
  • Monitor safety protocols (fire safety, pest control, infection control, etc.).

3. Vendor & Inventory Coordination

  • Liaise with vendors and contractors for facility-related services (maintenance, housekeeping, security, etc.).
  • Ensure service-level agreements (SLAs) are met and track performance of outsourced agencies.
  • Coordinate with the purchase department for procurement of administrative supplies and equipment.

4. Patient Experience & Service Quality

  • Monitor front-office and reception staff to ensure courteous and efficient patient handling.
  • Address and resolve patient grievances in coordination with the Quality and Patient Relations teams.
  • Implement patient feedback systems and initiate corrective actions where needed.
  • Ensure adherence to hospital service standards and SOPs.

5. Compliance & Documentation

  • Ensure compliance with hospital policies, NABH standards, and statutory regulations.
  • Maintain administrative documentation (licenses, fire safety certificates, AMC records, etc.).
  • Support internal audits and quality inspections by providing required data and reports.

6. People & Process Management

  • Supervise administrative staff, assign responsibilities, and monitor performance.
  • Conduct regular departmental meetings and training sessions.
  • Support HR in recruitment, induction, and evaluation of non-clinical staff.
  • Drive process improvement initiatives to enhance operational efficiency and patient satisfaction.
