Role Overview
The Operations Coordinator will work closely with the Associate Director - School Program Operations to strengthen planning, coordination, and monitoring of the School Program across multiple states. The role ensures operational discipline, strong follow-through, and alignment between state and central teams to deliver results at scale.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities independently while collaborating across diverse teams. Success in this role requires a solutions-focused mindset, strong follow-up discipline, and consistent reliability.
1. Program Coordination
Work primarily with the Associate Director - School Program Operations to ensure state teams have well-defined annual and monthly work plans aligned with program goals. The Operations Coordinator acts as the AD s point of contact for consolidating information and maintaining operational discipline.
Track implementation progress across states and flag any off-track activities to the AD, who will decide on next steps or guide engagement with state teams. Follow up on corrective actions as advised by the AD to ensure timely resolution.
Engage with state teams in a structured manner: communicate only on clearly defined operational updates, progress reporting, and data submissions. Interactions should primarily be with state leads or coordinators for progress tracking and data collection.
Support planning and review processes , including mid-year reviews and structured program review meetings. Attend all L4 (state-level) reviews to gather insights on implementation, good practices, challenges, and emerging patterns across states. Consolidate key findings and trends to inform L3 review discussions and decision-making.
2. Financial Tracking and Forecasting
Support the Associate Director - School Program Operations in preparing monthly financial projections and tracking budget utilization across states.
Assist in updating financial forecasts, variance reports, and ensuring alignment between program activities and expenditure.
Participate in calls with state teams and Finance to understand financial updates, challenges, and processes. Over time, gradually take on responsibility for managing these monthly calls independently, with the AD Operations providing guidance and support as needed.
Ensure all financial tracking and reporting is accurate, timely, and aligned with program priorities, flagging any discrepancies or concerns to the AD Operations for resolution.
3. Systems and Tools Management (Jira & Data Systems)
Support the Associate Director - School Program Operations in driving consistent adoption and usage of project management tools (e.g., Jira) and other internal systems across state and central teams.
Ensure that project milestones, tasks, and deliverables are accurately updated and monitored in the systems, consolidating information for the AD Operations to track program progress.
Provide basic troubleshooting and user support for Jira and other internal tools, primarily assisting state leads or coordinators in maintaining accurate records and reporting.
Monitor data flow between program teams and systems to ensure timely and accurate updates, flagging inconsistencies or gaps to the AD Operations for resolution.
4. Operational Processes and Reviews
Support the Associate Director - School Program Operations in developing and implementing Standard Operating Procedures (SOPs), timelines, and review processes.
Attend and document all key meetings, including L4 (state-level) and L3 (central-level) reviews, taking minutes and consolidating action points for follow-up.
Collaborate with the hub team to track monitoring processes, evaluation schedules, and data collection workflows, raising gaps or delays to the AD Operations for resolution.
Assist in preparing presentations, decks, and briefing documents for internal and external engagements.
5. Donor Reporting and Documentation
Support the AD operations in coordinating with Finance, M&E, state teams, and the hub team to prepare donor and internal reports.
Ensure that all reports financial, programmatic, or evaluation-related are submitted within deadlines.
Track data submissions, forms deployment, and evaluation timelines across states and the hub team to maintain smooth reporting cycles.
Maintain updated documentation and data repositories for easy reference and internal/external sharing.
6munication and Visibility Support
Assist the Associate Director Operations in coordinating with the central Communications team to implement communication plans aligned with program milestones, campaigns, and impact moments.
Support structured engagement with state teams to source stories, visuals, and testimonials on student learning, teacher engagement, and program impact.
Maintain content trackers to monitor timelines, requests, and completion status of communication deliverables across states.
Facilitate collaboration between program, hub, and communications teams during campaigns, media visits, and field documentation to ensure visibility of program impact.
Consolidate insights, trends, and key highlights for the AD to inform internal and external communications, donor reporting, and knowledge dissemination.
Bachelor s degree (Master s preferred) in management, development studies, social sciences, or related field.
3-4 years of experience in program coordination, operations, or project management, preferably in the education or development sector.
Strong organizational and coordination skills with attention to detail.
Experience with project management tools (Jira, Notion, Asana, Trello) and data systems.
Basic understanding of financial tracking, budgeting, and reporting processes.
Excellent communication, documentation, and stakeholder management skills.
Proactive, solutions-oriented, and reliable with strong follow-up discipline.
Experience supporting multi-state or large-scale education programs.
Familiarity with audit and compliance processes.
Comfortable working with data dashboards and performance tracking tools.
Strong problem-solving, time management, and collaboration skills.
Salary: The pay band for the position starts at Rs. 60,000/- per month (cost to company) ( The salary offered will be commensurate with the experience and expertise of the candidate)
