Job Description

the Role & responsibilities

1. Administrative Support:

  • Maintain office files, records, and documentation (physical and digital)
  • Handle incoming calls, emails, and correspondence
  • Prepare reports, quotations, invoices, and other documents
  • .Schedule and coordinate meetings

2. Client & Vendor Coordination:

  • Serve as a point of contact for clients regarding updates, follow-ups, and documentation.

  • Assist the sales/design team in preparing and sharing proposals with clients

3. Project & Order Management Support:

  • Track client orders and production timelines
  • Maintain status sheets for ongoing and upcoming projects
  • Ensure all project documentation is complete and up to date

4. Finance & Billing Support:

  • Maintain records of payments, receipts, and vendor bills
  • Coordinate with the accounts department for billing, advances, and dues
  • Follow up with clients for payments as per schedule

5. Office Operations:

  • Ensure smooth day-to-day office operations
  • Maintain office supplies and liaise with service providers
  • Support HR in maintaining staff attendance, leaves, and records
