Job Description

About the role: We’re looking for a smart, articulate, and presentable Front Desk Executive & Office Coordinator to be the face and operational backbone of our Noida office. The ideal candidate will ensure a world-class experience for guests, manage front-office operations, coordinate between departments, and support leadership with efficiency and confidentiality.

Key Responsibilities

1. Front Office & Guest ManagementWelcome and assist investors, partners, and clients with warmth and professionalism.Maintain visitor logbook (name, company, purpose, in/out time).Offer refreshments and ensure investor hospitality standards align with EBG’s brand image.Keep the reception, meeting rooms, and lounge areas clean, illuminated, and investor-ready.2. Calendar & Meeting CoordinationManage calendars for the Business Head and senior management.Schedule meetings, coordinate timings, and prevent overlaps.Send daily schedule briefs every morning and meeting reminders to participants.Coordinate pre-meeting preparations (brochures, decks, refreshments, setup).3. Minutes of Meeting (MOM) & DocumentationAttend meetings (internal and investor) to record clear MOMs.Share MOMs within 30 minutes of meeting completion.Maintain organized digital folders for all MOMs, with follow-up tracking.4. Attendance & Office CoordinationMaintain employee in/out register and attendance sheet.Track punctuality and share weekly summary with Manager.Liaison between departments (BD, Branding, MIS, Admin) for day-to-day updates.5. Travel, Cab & Logistics SupportCoordinate cab bookings and travel arrangementsManage logistics for investor visits (airport pickup, hotel coordination, courier handling).Maintain petty cash and record all transport and hospitality expenses.6. Office Readiness & Brand PresentationConduct daily morning office checks (lighting, temperature, fragrance, logo illumination, cleanliness).Ensure company brochures, visiting cards, and stationery are well-stocked.Maintain brand ambience in line with EBG’s “Planet · People · Profit” ethos.7. Communication & Confidential SupportHandle inbound calls, emails, and front-desk communication professionally.Manage confidential schedules and documents for the Business Head.Maintain discretion in handling investor and internal information. 8. Culture & EngagementMaintain birthday/anniversary calendars, coordinate small team celebrations.Keep noticeboard and investor-visit updates visible to the team.Candidate ProfileMinimum 1–3 years experience in front-desk, admin, or executive-assistant roles.Excellent communication (English & Hindi), strong coordination skills.Presentable, punctual, and detail-oriented.Proficient in Google Workspace / MS Office / Calendar Management.Pleasant personality with a professional attitude suitable for HNI & NRI interactions.Compensation₹20,000 – ₹30,000 per month (based on experience and presentation)Performance-linked bonus for exceptional service and discipline.About EBG GroupEBG Group is a multi-vertical organization operating across Mobility, Technology, Realty, Lifestyle, Food, Health, and Services.Founded on the “Non-Sense Approach” to solving real-world problems, EBG’s guiding motto is Planet, People, Profit — creating ventures that are sustainable, scalable, and socially impactful.
