The role in a nutshell

The ideal candidate is reliable and self-motivated with the aptitude to handle anything that might come their way. The candidate is a junior professional who doesn't mind various responsibilities. The individual is a people person and a systems person with a strong emphasis on organization and attention to detail. Candidate must understand handling a variety of administrative tasks and are comfortable with all levels of management. This is independent role with little to no supervision.

How you will make a difference:

• Provide administrative support to local points of contact.
• Act as the primary point of contact for the landlord, onsite staff, and vendors including catering.
• Coordinate local travel accommodations as required.
• Manage meeting rooms and arrange for appropriate meeting materials.
• Manage incoming correspondence and route appropriately.
• Greet visitors and clients, guide them, and maintain a welcoming atmosphere.
• Maintain both physical and electronic filing systems—ensure documents are organized and retrievable.
• Arrange office upkeep, coordinate repairs, and maintain cleanliness/organization of the workspace.
• Order, manage, and track office supplies and inventory; liaise with vendors.
• Assist in onboarding tasks such as workspace setup, ID card generation, and orientation logistics for Noida and Gurgaon office.
• Ensure adherence to company policies and maintain the confidentiality of sensitive information.
• Willing to work on a part time role (5 Hours/Day).

What will give you an advantage:

• Minimum 1 year experience working as office assistant, administrative assistant role or the like.
• Excellent verbal and written communication skills, along with strong interpersonal skills. Must have the ability to comfortably interact & communicate with all levels of the organization.
• Ability to travel to Gurgaon when required.
• Proficiency in Microsoft Office, with an aptitude to learn new software and systems.
• Strong time-management, and people skills, with flexibility, and multitasking ability.
• Self-starter personality with ability to adapt to shifting priorities and meet deadlines in a changing environment.
• Ability to work collaboratively and follow instructions.
• Proactive and thoughtful in seeking clarification and asking questions.
• A strong connection to Safeguard values.
