Job Description for Executive- office administration Job Title: Executive- Office Administration Department: Administration Responsibilities: Office Administration: 1.  Maintain our office environment, including hygiene, lighting, furniture, safety, sanitation and confidentiality.  2.  Ensure cleanliness and maintenance of the office 3.  Record staff members' attendance and leave records accurately. 4.  Manage leaves taken by staff members and process leave applications. 5.  Responsible for opening and closing the office premises and managing office keys with utmost care for employees, clients' information & documents and all types of company properties. 6.  Manage inventory and distribution of printed stationery, coordinating with the Head Office. 7.  Arrange facility services for guests and staff, including coffee, tea, and water. 8.  Select service providers on competitive terms in coordination and approval of Head Office. 9.  Monitor stock levels, place orders, and verify supply of office requisites. 10. Coordinate with outsourced services such as courier, speed post, and drinking water. 11. Collect B2B data to support business development functions. 12. Verify bills before forwarding them to the accounts department. 13. Manage commercial licenses relevant to office operations. 14. Maintain office automation systems and ensure prompt service maintenance. 15. Ensure availability of first-aid supplies. Data & Document Process: 1.  Computer operations; Complete data entry and process tasks promptly within the pre-set time limits using the Process Management System (PMS). 2.  Regularly check and manage emails, forwarding them to the respective heads and sending emails to clients with appropriate content. 3.  Communicate and coordinate with team members for required information accurately within the set turn-around-time. 4.  Verify, upload, scan and process applications/assignments accurately and in a timely manner from your location to Head Office. 5.  Draft and prepare various documents in accordance with the required format and ensure proper presentation. 6.  Maintain records of all received and dispatched soft copies at the desk. 7.  Submit a daily time-task report by the end of the day. In addition, any assignments or responsibilities in the area of Administration are required to be undertaken by you as the situation arises. Salary: 1. Monthly Starting Salary In Hand: Rs. 21,000/- Working Days & Timings: 1.  Working Days: Monday to Saturdays. 2.  Week Offs: All Sundays & 2nd Saturday of every month. 3.  Working Timings: 9:00am to 6:30pm.
