Job Description

As an Office Admin Executive at our company, you will play a crucial role in ensuring the smooth and efficient day-to-day operation of our office. Your responsibilities will include: - **Office Management:** Oversee the general upkeep and organization of the office space to maintain a clean, tidy, and functional environment. - **Front Desk Operations:** Manage the reception area, greet visitors, answer and direct phone calls, and handle incoming and outgoing mail and deliveries. - **Administrative Support:** Provide comprehensive administrative and clerical support to the team, including scheduling meetings, managing calendars, preparing correspondence, and organizing documents. - **Supply Management:** Monitor and maintain office supplies, placing orders when necessary and ensuring adequate stock levels. - **Equipment Maintenance:** Coordinate with vendors for the maintenance and repair of office equipment such as printers and copiers. - **Meeting Coordination:** Schedule and coordinate meetings, book meeting rooms, prepare agendas, and take minutes as required. - **Travel Arrangements:** Assist with travel arrangements for employees, including booking flights, accommodations, and transportation. - **Data Entry and Record Keeping:** Maintain accurate and organized electronic and physical records and files. - **Invoice Processing and Expense Tracking:** Assist with processing invoices, tracking expenses, and preparing expense reports. - **Liaison with Vendors and Service Providers:** Communicate with external vendors and service providers for various office-related needs. - **Facility Management Support:** Assist with basic facility management tasks, such as coordinating with building management for maintenance or repairs. - **Event Coordination:** Assist with the planning and execution of office events and meetings. - **Maintaining Confidentiality:** Handle sensitive information with discretion and maintain confidentiality. - **Ad-hoc Administrative Tasks:** Perform other administrative and clerical duties as assigned to support the team and ensure efficient office operations. To excel in this role, you should have: - 1+ years of experience in an office administration role. - Proven ability to manage a wide range of administrative and clerical tasks. - Excellent organizational and time management skills with a strong attention to detail. - Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Excellent written and verbal communication skills. - Strong interpersonal skills and a professional demeanor. - Ability to work independently and as part of a team. - Proactive and resourceful with a problem-solving attitude. - Ability to prioritize tasks and manage multiple deadlines. - High school diploma or equivalent required; associate's or bachelor's degree preferred.
