Responsibilities

Order & Desk Coordination

  • Receive confirmed Purchase Orders (PO) from Sales/Marketing and prepare Order Acknowledgement (OA).
  • Update new orders in ERP and ensure quotation/order details are correctly entered.
  • Prepare Order Review Form after order receipt.
  • Coordinate with Planning, Production, QA, and Dispatch teams for smooth order execution.
  • Communicate with customers regarding delivery schedules and provide order status updates.
  • Follow up with customers for schedules/forecasts and escalate cases where schedules fail till month-end.
  • Collect and confirm Goods Receipt Reports (GRR) from customers after delivery.
  • Prepare and submit customer commercial documents (Vendor Registration, Agreements, etc.).
  • Coordinate submission of technical documents to customers (PPAP, TDS, MSDS, etc.).
  • Record and forward customer complaints to relevant stakeholders and track resolution.
  • Maintain ISO/IATF documentation and ensure CS & Logistics records are updated.
  • Prepare weekly and monthly MIS reports on deliveries, pending schedules, and stock status.

Dispatch & Logistics (D&L)

  • Communicate packing advice to Dispatch section.
  • Plan and monitor dispatches for on-time execution.
  • Select and coordinate with transporters for dispatch of material.
  • Monitor sales invoice acknowledgment from customers.
  • Ensure timely dispatch and delivery of products to customers.
  • Monitor and update approved transporter list.
  • Track and update premium freight records.
  • Monitor and update finished goods stock records.
Authorities
  • Authorized to prepare and release Order Acknowledgements (OA).
  • Coordinate directly with Planning, Production, QA, Dispatch, and Transport teams.
  • Finalize transporter selection from the approved list.
  • Communicate directly with customers regarding dispatch status, delivery confirmation, and GRR.
  • Escalate delays or logistics issues to Senior/General Manager for decision-making.
Qualifications & Skills
  • Bachelor’s/Master’s degree in Supply Chain Management, Operations, Logistics, or related field.
  • Minimum 2 years of relevant experience in Customer Supply Chain/Logistics.
  • Total work experience: 5–10 years.
  • Strong knowledge of ERP systems, ISO/IATF documentation, and MIS reporting.
  • Excellent coordination, problem-solving, and communication skills.
  • Experience in handling transporters, dispatch operations, and customer schedules.
