We are hiring a highly experienced
Senior Desk Expeditor
to support large-scale Oil & Gas / Renewable Energy projects. This role requires deep expertise in supplier follow-ups, inspection coordination, documentation review, and schedule monitoring. The senior expeditor will operate primarily from the Kanjurmarg office
, with site visits as required, ensuring smooth coordination between Vendors, TPI Agencies, and Client teams. The candidate must be proactive, technically sound, and capable of managing 100-125 POs across multiple packages with structured reporting and strong stakeholder communication.
Key Responsibilities
1. Expediting & Schedule Monitoring
Daily monitoring of vendor manufacturing schedules and progress.
Follow-up on all manufacturing activities to ensure adherence to timelines.
Identification of delays, risks, and deviations; initiate corrective actions.
On-ground (site) expediting on a need basis to resolve bottlenecks.
2. Inspection & TPI Coordination
Coordinate with
TPI agencies
, vendors, and client inspection teams for stage-wise inspections.
Ensure activities follow the approved
ITP / QAP
.
Facilitate test execution, document reviews, NCR resolutions, and closure actions.
Verify inspection reports and ensure they meet client quality requirements.
3. Documentation & Compliance
Review and verify all MTCs, certificates, inspection reports, dispatch documents, and vendor submissions.
Conduct
IRN (Inspection Release Note)
reviews.
Ensure all documents and approvals are aligned with project standards.
Follow up with internal teams and customers for timely approvals.
4. Vendor & Stakeholder Coordination
Act as a central point of contact between
Vendor / TPI / Client
.
Drive weekly/monthly review meetings and ensure accurate status updates.
Site visit to vendor location when required for schedule recovery or issue resolution.
5. Dispatch & Logistics
Ensure final documentation, inspection clearance, and readiness for dispatch.
Provide dispatch clearance after full compliance verification.
Coordinate logistics follow-ups until material reaches the designated site.
Qualifications & Skills
Diploma/Bachelor s in
Mechanical Engineering
(mandatory).
15+ years
of experience in expediting, inspection coordination, and vendor management in Oil & Gas / Renewables / EPC
.
Strong understanding of ITP, QAP, MTCs, certificate review, welding/NDT basics, fabrication, machining, and shopfloor processes.
Proven expertise in managing large PO volumes (100+ POs).
Excellent communication, follow-up discipline, and analytical abilities.
Strong reporting skills, MS Excel proficiency, and experience in digital expediting tools.
Ability to coordinate with senior vendor stakeholders and navigate complex project environments.
