Job Title: Management Assistant Cum Travel Desk Executive Role: Administration support (Personal Assistant, Calendar Management, Communication Management) and Travel Management (Train, flight, hotel bookings for employees and Visa), effective data management. Department: Founders Office Administrative Reporting to: TBD Location: Andheri Role Overview: The role will provide high-level administrative support to the Directors while managing the travel desk operations of all employees. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Key Responsibilities Manage Directors calendars, meetings, and Handle appointments, tasks, and communication on behalf of the Prepare reports, presentations, and important documents required for the traveling and business meetings. Book domestic and international travel, including flights, hotels, travel insurance and transportation well within the policy framework. Ensure cost-effective travel plans Ensure compliance and adherence with the companys travel and expenses Handle last-minute travel changes and cancellations in unavoidable Ensure passport applications and renewals, visa applications, travel insurance, and foreign exchange needs for management, family members and employees. Maintain office supplies and coordinate procurement for Maintain travel data, analyse and support organisation to create policy Assist in organizing company events, conferences, and offsite Ensure smooth coordination between Directors and other Liaise with clients, vendors, and external Manage correspondence and follow-ups on critical business Coordinate with Surat office for travel arrangements Experience Suitable To The Role Prior experience of minimum 2-3 years in managing travel including booking, visa, passport, calendar management and coordination. Working in a travel companies like Uniglobe Mod Travel, Akbar Travels, Corporate Travel Desk Experience in coordination with the travel agency, government agencies Proactive and problem-solving Ability to work under pressure and manage tight High level of professionalism and attention to Flexible and adaptable to changing Experience Not Suitable To The Role Those with no prior experience in executive assistance or travel desk Someone working as a tour/ travel manager Lack of confidentiality in handling sensitive Limited experience with corporate travel policies and visa Poor communication and coordination Not flexible about working hours, resistance to provide support as and when required Required Qualifications, Experience In Skills Bachelors degree (Preferably, but not mandatory in business management, business studies, mass communication etc.) 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a Travel Desk role or in a role where coordination with various department and data management. Experience in managing booking portals like Make My Trip, Ease My Trip, IRCTC Strong experience in Excel including data management and analysis Good communication skills Important Considerations Gender Preference: Female Experience: Prior experience in executive assistance, travel desk operations, corporate travel planning, and administrative coordination.
