Role Overview

The IT Asset Management (ITAM) Lead/Manager is responsible for the complete lifecycle management of all company IT assets, encompassing hardware, software, and IT spares. This leadership role focuses on optimizing asset utilization, ensuring strict compliance, driving operational efficiency, and managing physical logistics across the organization, with a strong focus on adherence to environmental, social, and governance (ESG) norms.

Key Responsibilities

1. Asset Lifecycle Management (Hardware & Software)

• IT Asset Management (Hardware & Software): Establish, implement, and maintain comprehensive ITAM processes and procedures for tracking, documenting, and managing the entire lifecycle of IT assets from procurement to disposal.

• Allocation & Deallocation: Oversee the efficient and accurate assignment (IT Assets Allocations) and retrieval (deallocation) of hardware (laptops, desktops, monitors, mobile devices) to end-users, ensuring timely provisioning and recovery.

• Software Compliance: Track software licenses, usage, and entitlements to ensure compliance with vendor agreements, managing true-up processes and minimizing financial risk from under- or over-licensing.

• Inventory Accuracy: Maintain high levels of accuracy in the Configuration Management Database (CMDB) or Asset Register.

2. Logistics, Spares, and Stock Planning

• Spares & Stock Planning: Develop and manage a strategic inventory of IT Spares & Stock, planning for future requirements based on refresh cycles, failure rates, and employee growth.

• Tracking & Inventory Control: Implement robust processes for tracking the movement and status of all physical assets and spares, including receipt, storage, staging, and deployment.

• Courier Services Management: Manage relationships and operations with Courier services across India for the secure and compliant movement of IT assets (new deployments, repairs, returns, and disposals). Ensure appropriate packaging, insurance, and documentation for all shipments.

3. Reporting, Compliance & Efficiency

• MIS Reporting: Develop and generate accurate and actionable MIS Reports (Management Information System) on asset utilization, compliance status, spend analysis, depreciation, and stock levels for senior management review.

• IT Assets Scrapping (ESG Compliance): Lead the end-of-life process, managing the secure data sanitization and IT Assets Scrapping as per ESG Norms. Ensure all disposal activities are environmentally sound, comply with regulatory requirements, and are meticulously documented.

• Process Automation: Identify opportunities and implement tools or scripting to drive Process Automation within ITAM functions (e.g., inventory checks, allocation records, reporting, and asset discovery).

Mandatory Skills & Qualifications

• Experience: Minimum of 5 years of experience in IT Asset Management or IT Operations, with at least 2 years in a leadership/manager role.

• ITAM Expertise: In-depth, hands-on experience with both Hardware Asset Management (HAM) and Software Asset Management (SAM).

• Compliance Focus: Proven experience with IT asset disposal processes adhering to ESG and/or environmental regulations.

• Logistics Management: Demonstrated ability to manage complex physical asset movements and logistics across multiple remote locations or regions.

• Reporting: Expert proficiency in creating detailed MIS reports using tools like Excel, Power BI, or ITSM reporting modules.

• ITSM Tools: Strong experience utilizing a professional ITSM or dedicated ITAM platform (e.g., ManageEngine, ServiceNow, Flexera, Ivanti, BMC Remedy).

Desired Qualifications

• Certifications such as Certified IT Asset Manager (CITAM) or CSAM (Certified Software Asset Manager).

• Bachelor's degree in Supply Chain Management, Information Technology, Finance, or a related field.

• Experience managing IT budgets and working closely with Finance/Procurement teams.

• Knowledge of relevant data privacy and security regulations (e.g., GDPR, local laws) as they relate to asset disposal.
