Job Description

As a valued member of Family First Fostering, your role will involve providing comprehensive administrative support to the social work and Family Finder teams. Your responsibilities will include: - Maintaining accurate and up-to-date records and files on systems such as CHARMS - Managing internal documentation and ensuring timely completion and filing of statutory forms, reports, and correspondence - Assisting in the preparation and distribution of fostering panel papers, meeting minutes, and agenda items - Inputting referral, placement, and carer data into relevant systems with a strong emphasis on accuracy and confidentiality - Supporting the team in undertaking recruitment checks for foster carers and maintaining compliance records - Coordinating diaries, scheduling meetings, and managing communications with external agencies - Ensuring office health and safety protocols are followed, including conducting regular fire alarm tests and organizing fire drills - Assisting in the creation and formatting of marketing materials, foster carer profiles, and newsletters - Upholding standards of data protection, safeguarding, and confidentiality at all times - Supporting the planning and delivery of events for foster carers, staff, and children Additionally, you will be expected to: - Respond to telephone and email enquiries promptly and professionally - Monitor and maintain office supplies, ordering and replenishing as needed - Prepare reports, maintain spreadsheets, and support audits and inspections - Participate in relevant training and ongoing professional development - Welcome and monitor visitors to the office, ensuring the visitor log is up to date - Actively engage in regular supervision sessions and participate in an annual appraisal - Work collaboratively as part of the team to support the development and continuous improvement of the service Your dedication to quality assurance processes, adherence to fostering regulations, and commitment to supporting with transport arrangements for looked-after children will play a crucial role in the overall success of the organization. Your role may evolve to meet organizational needs, and any changes will be reviewed in consultation with you.,
