Job Summary The Admin Manager will oversee and manage all administrative functions of the corporate office, ensuring smooth day-to-day operations and efficient support services across departments. This includes facilities, vendor coordination, infrastructure management, statutory compliance, travel, procurement, and policy implementation.

Position Overview

The Animal Hospital Administrator oversees daily administrative operations to ensure efficient, high-quality service for clients and support for veterinary staff. This role involves managing office workflows, client communications, scheduling, recordkeeping, and general hospital administration.

Key ResponsibilitiesClient Services & Front Desk

  • Greet clients and their pets, ensuring a friendly and professional experience
  • Answer phone calls, respond to emails, and manage client inquiries
  • Schedule appointments, surgeries, and follow-up visits
  • Check patients in/out and process payments
  • Explain hospital policies, procedures, and services

Administrative & Office Management

  • Maintain accurate medical and client records
  • Prepare invoices, update billing information, and handle financial transactions
  • Order and maintain office/supplies inventory
  • Assist with managing hospital communications, including reminders and follow-up calls
  • Coordinate with vendors, service providers, and external partners

Staff & Operational Support

  • Support veterinarians and technicians with administrative tasks
  • Assist in scheduling staff shifts and managing time-off requests
  • Help maintain compliance with hospital protocols and regulatory requirements
  • Participate in team meetings and training sessions

Facility & Compliance

  • Ensure lobby and reception areas are clean and organized
  • Monitor safety standards and maintain confidentiality of medical records
  • Follow standard operating procedures and maintain compliance with veterinary regulations

Qualifications

  • High school diploma (associate or bachelor’s degree preferred)
  • Experience in a veterinary clinic, medical office, or customer-service-focused role
  • Strong communication and organizational skills
  • Ability to multitask in a fast-paced environment
  • Proficiency with veterinary software (eVet, Cornerstone, AVImark, etc.) a plus
  • Compassion for animals and their owners
