Front Office Specialist

JD OF FRONT OFFICE EXECUTIVE Greet and welcome visitors: Handle inquiries, direct calls, and manage the flow of visitors, setting a positive tone for the office. Administrative Support: Manage appointments, maintain records, and handle office supplies. Customer Service: Provide excellent customer service to clients and employees, addressing their needs and concerns. Communication: Answer phones, take messages, including emails and relay information effectively. Record Keeping: Maintain organized files, update records, and ensure proper document management. Office Management: Ensure a tidy and presentable front desk, manage incoming and outgoing mail, and handle basic office equipment. Teamwork: Collaborate with other team members to ensure smooth workflow and efficient office operations. Problem-Solving: Handle various issues that may arise, from guest inquiries to logistical challenges, with a proactive and solution-oriented approach. Data Entry: Perform basic data entry tasks as needed, including updating databases and entering information into spreadsheets & ERP In4 Velocity. Meeting Management: Schedule and manage meetings, prepare agendas, and distribute materials as needed. QUALIFICATIONS : Graduation, Diploma or Equivalent Previous experience in a customer service role is preferred Excellent communication and interpersonal skills, soft spoken Proficient in Microsoft Office suite Proficient in ERP will be an added advantage Ability to multitask and prioritize Strong problem-solving skills Professional and friendly demeanor Ability to work in a fast-paced environment Flexibility to work in evenings, weekends, and holidays.
