Role Overview:

We are looking for a professional and enthusiastic Front Office Executive to be the first point of contact for our visitors, clients, and employees. The ideal candidate will ensure smooth day-to-day front desk operations, provide excellent customer service, manage communications, and assist in routine administrative functions.


Key Responsibilities:

Guest & Visitor Management:

  • Greet and welcome visitors professionally, ensuring a positive first impression.
  • Handle guest queries, complaints, and requests efficiently while maintaining high standards of customer service.
  • Manage check-ins, check-outs, and maintain visitor logs and registers accurately.


Communication & Coordination:

  • Answer, screen, and forward incoming calls with professionalism.
  • Manage internal and external correspondence, including emails and courier services.
  • Schedule and manage appointments, meetings, and conference room bookings.


Administrative Support:

  • Maintain records of visitors, attendance, movements, and office activities.
  • Assist with document management, filing, and basic data entry tasks.
  • Support internal communication by distributing notices and updates clearly and promptly.


Operational Excellence:

  • Maintain the Front Office logbook and prepare shift or daily reports.
  • Coordinate with relevant teams for event/banquet bookings and follow-ups.
  • Follow standard operating procedures and escalate issues to management when necessary.


Qualifications & Skills Required:

  • Graduate / Diploma in Hospitality, Administration, or related field (preferred).
  • 6 months – 1 year of experience in Front Office, Reception, or Customer Service.
  • Excellent communication (verbal & written) and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook); familiarity with front office systems is a plus.
  • Strong organisational skills with the ability to multitask efficiently.
  • Customer-oriented approach with problem-solving abilities.
  • Professional appearance, punctuality, and a positive attitude.
