Job Objective

  • The Front Office Associate is responsible for delivering exceptional member and guest service at the reception desk, managing bookings, handling payments, and ensuring smooth coordination with all departments while maintaining professionalism and adherence to club standards.

Key Responsibilities

Financial

  • Collect payments for activity bookings, rooms, spa/salon, and other desk charges.
  • Record transactions in the designated billing system/register and issue receipts.
  • Maintain a daily accounting summary and handover collections to Accounts as per procedure.
  • Perform daily cash/card reconciliation and finalize billing entries.
  • Customer
  • Welcome members and guests courteously and maintain a service-oriented attitude.
  • Provide accurate information about club facilities, rules, and timings.
  • Assist members with queries and direct them to appropriate departments.
  • Handle guest concerns promptly and ensure service recovery when required.

Process

  • Manage room bookings using FX software, including check-in/check-out processes.
  • Handle activity area bookings (squash courts, pool, studio classes, gym slots, spa/salon) and confirm availability.
  • Answer calls within 3 rings, transfer accurately, and maintain call logs.
  • Enter new membership details and update existing member information in CMS.
  • Coordinate with Housekeeping, Activity Teams, Spa/Salon, and Security for operational readiness.
  • Maintain neat and organized reception area, ensure availability of forms and stationery, and adhere to grooming standards.
  • Complete daily closing routine including FX updates, activity bookings, CMS entries, and proper handover for next shift.

Desired Profile: -

  • Degree / Diploma - Hotel Management or related field

Overall experience : -

  • 1 - 2 years in front office or guest service role, preferably in a luxury hospitality setting.
  • Strong communication, problem-solving, and organizational skills
  • Ability to handle bookings and payments accurately
  • Guest-focused attitude
  • Ability to handle difficult guests and conflicts
