Job Summary:
We are looking for a Front Office Associate to manage our institute’s front desk and provide essential administrative support. This role is the first point of contact for students, visitors, and staff. The ideal candidate will be responsible for handling day-to-day front office activities, attendance tracking, document preparation, and assisting HR and accounts departments.
Key Responsibilities:
Manage front desk operations, including greeting students and visitors.
Maintain attendance records for students and employees.
Keep track of class schedules, faculty timings, and daily logs.
Prepare and maintain student registration records and follow-up lists.
Coordinate and print offer letters, certificates, and internal documents.
Handle incoming phone calls, WhatsApp queries, and walk-in inquiries.
Assist the HR department with onboarding, documentation, and interview scheduling.
Support the accounts team in maintaining basic records and receipts.
Ensure the front office area is neat, presentable, and equipped with all necessary materials.
Maintain proper filing of student and staff records (both digital and physical).
Assist in basic marketing activities like sharing course flyers and follow-ups.
Act as a communication bridge between departments and trainers.
Skills Required:
Good communication and interpersonal skills (English & Malayalam preferred)
Basic computer knowledge – MS Office, email handling
Organizational and multitasking abilities
Professional attitude and appearance
Team coordination and record-keeping skills
