Job Description

In the hotel industry, the Front Office is the main point of contact between guests and the hotel. Its responsibilities focus on guest service, communication, and coordination. Here are the key job responsibilities of the Front Office department:

1. Guest Reception & Check-In

  • Welcoming guests politely and professionally
  • Confirming reservations and guest details
  • Assigning rooms and issuing room keys
  • Explaining hotel facilities, services, and policies

2. Check-Out & Billing

  • Preparing and explaining guest bills
  • Handling payments (cash, card, online, etc.)
  • Resolving billing issues or discrepancies
  • Thanking guests and requesting feedback

3. Reservations Management

  • Handling room reservations via phone, email, website, or walk-ins
  • Updating reservation systems accurately
  • Managing room availability and occupancy status
  • Coordinating with sales and online booking platforms

4. Guest Services & Assistance

  • Responding to guest inquiries and requests
  • Providing information about hotel services and local attractions
  • Handling guest complaints professionally and efficiently
  • Arranging transportation, wake-up calls, and special requests

5. Communication & Coordination

  • Coordinating with housekeeping about room status
  • Communicating guest needs to other departments (food & beverage, maintenance, security)
  • Maintaining clear internal communication logs

6. Cashiering & Record Keeping

  • Maintaining accurate financial records
  • Handling cash floats and daily revenue reports
  • Ensuring proper documentation and data entry

7. Safety & Security

  • Verifying guest identity and maintaining guest confidentiality
  • Monitoring lobby activities
  • Following emergency and safety procedures

8. Customer Relationship Management

  • Building positive guest relationships
  • Handling VIP guests and loyalty program members
  • Encouraging repeat business through excellent service

9. Administrative Duties

  • Maintaining guest records and profiles
  • Preparing daily reports (occupancy, arrivals, departures)
  • Managing front desk supplies and equipment
