Job Title: Export Coordinator

Department:

Job Purpose:

The Export Coordinator will be responsible for managing the end-to-end export order process, ensuring smooth communication with customers, accurate data maintenance, timely order updates, preparation of quotations, and export documentation. The role also involves supporting the sales team in building long-term relationships with clients, handling customer queries, preparing sales contracts, and managing dispatch schedules and export costing.

Key Responsibilities:

1. Customer Database & Order Management

  • Maintain and update the customer database with accurate information in CRM.
  • Track and manage export orders, updating order status regularly to internal teams and customers.
  • Prepare and share timely quotations with customers as per requirements.
  • Ensure proper documentation for all export orders, including sales contracts and invoices.

2. Sales Support & Relationship Management

  • Support the sales team in building long-term customer relationships through regular follow-ups and communication.
  • Address and resolve customer queries, complaints, and concerns promptly and effectively.
  • Collaborate with internal departments to ensure customer satisfaction and on-time deliveries.

3. Data Analysis & Reporting

  • Generate and analyze sales data for management reviews.
  • Prepare monthly dispatch schedules and reports on order status, sales performance, and pending shipments.
  • Maintain dashboards in CRM for better visibility of sales and export metrics.

4. Export Costing & Documentation

  • Assist in preparing export costing sheets for quotations and final orders.
  • Coordinate with logistics, finance, and operations teams for timely shipments and cost control.
  • Ensure compliance with export regulations and documentation standards.

Required Skills & Competencies:

  • Strong knowledge of export processes, documentation, and Incoterms.
  • Proficiency in CRM tools, MS Excel, and reporting tools.
  • Excellent communication and interpersonal skills.
  • Problem-solving attitude with a customer-centric approach.
  • Analytical mindset for data analysis and costing preparation.
  • Ability to multitask and work in a fast-paced environment.

Qualifications & Experience:

  • Graduate/Postgraduate in Commerce, International Business, or related field.
  • 24 years of experience in export coordination or international sales support.
  • Experience in chemical/manufacturing industry preferred.

  • Accuracy of customer database & order updates.
  • Timely preparation of quotations, sales contracts, and dispatch schedules.
  • Customer satisfaction and resolution turnaround time.
  • On-time export shipments and documentation compliance.
  • Quality of data analysis and reporting accuracy.
