Job Description

Main Areas of Responsibilities and Key Activities:

Upon receiving a purchase request (PR), create detailed enquiry documents.
Identify potential vendors from the approved vendor list
Send out enquiry documents to identified vendors.
Gather offers and quotations from these vendors.
Create comparative statements to evaluate the offers received.
Compare key factors such as price, delivery time, quality, and compliance with specifications.
Engage in negotiations with vendors, focusing on both technical specifications and commercial terms.
Use technical recommendations to inform and guide these negotiations.
Present the findings and recommendations to the project purchase head.
Collaborate to make the final decision regarding which vendor to select.
Coordinate with the finance department to ensure the PO is correctly entered into the SAP system.
Work with vendors to ensure timely submission of required drawings.
Collaborate with technical colleagues to review and approve these drawings.
Maintain regular contact with vendors to ensure timely delivery of materials.
Manage and oversee all related documentation to ensure accuracy and completeness.
Generate a monthly Management Information System (MIS) report on project purchases.
Review this report with senior management to ensure transparency and address any issues.
Keep thorough and organized documentation to be prepared for various audits.
Ensure all records are accurate and easily accessible for auditing purposes.
