Urgent Hiring Executive Assistant / Operations Coordinator.

Executive Assistant / Operations Coordinator

The ideal candidate is detail-oriented, discreet, tech-savvy, and comfortable managing multiple priorities while coordinating with internal teams, vendors, accountants, and external stakeholders.

Key Responsibilities:

  • Plan, schedule, and manage calendars, meetings, appointments, briefs, and reminders
  • Prepare meeting agendas, take minutes, and ensure timely follow-ups

Accounts & Recordkeeping

  • Maintain expense logs and financial trackers
  • Reconcile bills, track invoices, and coordinate with accountants
  • Ensure accurate and up-to-date records for audits and reviews

Communication & Coordination

  • Draft professional emails, letters, and internal communications
  • Liaise with teams, vendors, investors, consultants, and service providers
  • Coordinate logistics, travel plans, and schedules across locations

Research & Reporting

  • Conduct market, vendor, compliance, and operational research
  • Prepare concise reports, summaries, presentations, and dashboards for leadership

Data & Documentation Management

  • Organize contracts, compliance documentation, digital files, and operational trackers
  • Maintain structured filing systems for easy access and retrieval

Multi-Business & Project Support

  • Provide administrative and operational support across:
  • Import & logistics operations
  • Liquor retail business
  • Media initiatives
  • School administration and academic projects
  • NGO and social impact activities

Travel & On-Site Coordination

  • Be available for frequent travel, site visits, and office coordination
  • Engage with multiple offices, departments, and field teams as required

Key Skills & Competencies

  • Advanced proficiency in

    MS Office (Excel, Word, PowerPoint)

    and

    Google Workspace

  • Proven experience in

    calendar management, email handling, and meeting documentation

  • Strong

    spreadsheet skills

    with basic accounting knowledge
  • Working knowledge of

    Tally, Zoho Books, or other accounting software

  • Excellent

    research skills

    and ability to write clear, concise reports
  • Strong verbal and written communication skills
  • High level of

    discretion, reliability, and professionalism

  • Experience with

    compliance documentation, vendor management, or school/NGO administration

    is preferred
  • Willingness to

    travel frequently

    and adapt to dynamic work environments
  • Proficiency in

    Hindi and English

  • Male

    Candidate

    Preferable.

Qualifications & Experience

  • Bachelor’s degree in Business,
  • 1–3 years of experience
