Job Description

Role & responsibilities:

  • Manage the Managing Directors daily calendar, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, including scheduling, agenda preparation, and minute-taking.
  • Act as a key liaison between the Managing Director and internal departments to ensure smooth communication and follow-ups.
  • Prepare reports, presentations, briefs, and official correspondence as required by senior management.
  • Maintain MIS reports, dashboards, and performance data using MS Excel and other tools.
  • Track action items, deadlines, and commitments to ensure timely execution.
  • Handle confidential and sensitive information with utmost discretion and professionalism.
  • Maintain proper documentation, filing systems, and records for easy access and reference.
  • Support administrative and operational tasks related to the MDs office.
  • Use AI-enabled productivity tools (e.g., ChatGPT, Notion AI) to improve efficiency and workflow.
  • Assist in streamlining administrative processes and implementing productivity improvements.
  • Coordinate with vendors, stakeholders, and external partners when required.
  • Provide general office and executive support to ensure smooth day-to-day operations.

Preferred candidate profile:

  • Male candidate with strong organizational and coordination skills, comfortable working closely with senior leadership.
  • Graduate in any discipline; Finance or Commerce background preferred.
  • 13 years of experience as an Executive Assistant, Personal Assistant, or in an administrative support role.
  • Prior experience in coordinating with senior leadership or top management is highly desirable.
  • Strong proficiency in MS Office tools: Excel, Word, PowerPoint, and Outlook.
  • Experience in MIS reporting, data management, and preparing presentations and reports.
  • Excellent written and verbal communication skills with strong listening ability.
  • Highly organized, detail-oriented, and capable of handling multiple tasks simultaneously.
  • Ability to prioritize work, meet deadlines, and work efficiently in a fast-paced environment.
  • High level of integrity with the ability to handle confidential and sensitive information discreetly.
  • Proactive, dependable, and solution-oriented with a professional and positive attitude.
  • Basic people coordination and follow-up skills across departments.
  • Familiarity with AI-enabled productivity tools (ChatGPT, Notion AI, etc.) is an added advantage.
  • Shorthand skills will be an added advantage.
  • Comfortable working in a structured, professional corporate environment with senior leadership exposure.
