Job Responsibilities:
- Administrative Support:
- Manage and maintain the Director’s schedule, including appointments, meetings, and travel arrangements.
- Handle day-to-day administrative tasks including filing, correspondence, and report preparation.
- Draft, proofread, and edit emails, memos, reports, and presentations on behalf of the Director.
- Communication Management:
- Serve as the primary point of contact between the Director and internal/external stakeholders.
- Handle incoming and outgoing communication efficiently and professionally.
- Ensure timely follow-up on action items and pending correspondence.
- Meeting Coordination:
- Organize, prepare agendas, take minutes, and follow up on action points from meetings.
- Coordinate logistics for internal and external meetings, conferences, and events.
- Confidentiality & Professionalism:
- Maintain confidentiality and discretion in handling sensitive company information.
- Exercise sound judgment in managing priorities and time-sensitive matters.
- Document & Data Management:
- Prepare and organize reports, presentations, and documentation as required.
- Maintain proper records, databases, and filing systems (both digital and physical).
- Project Coordination:
- Assist in monitoring progress of projects assigned by the Director.
- Follow up with different departments or teams to ensure timely execution.
- Travel & Expense Management:
- Coordinate travel plans, itineraries, and hotel bookings for the Director.
- Prepare travel expense reports and manage reimbursements accurately and timely.
- Liaison & Relationship Management:
- Build and maintain effective working relationships with internal departments and external clients/partners.
- Act as a representative of the Director when required.
Key Skills Required:
- Strong organizational and multitasking skills
- High level of verbal and written communication skills
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and handle pressure
- Professional demeanor and proactive attitude
