Job Summary:

Key Objectives of the Role:

  • Provide direct support to the Director and additional support to the executive team to ensure operational efficiency.
  • Refine and manage internal processes that enable senior executives to meet organizational goals and uphold best practices.
  • Coordinate internal and external resources to facilitate workflows and expedite tasks.
  • Plan and orchestrate activities to align with senior executives' priorities and organizational goals.

Responsibilities:

  1. Calendar and Scheduling Management:

    • Schedule and coordinate the Directors appointments, meetings, and events.
    • Ensure the Director is well-prepared with necessary documents and information.
  2. Communication and Liaison:

    • Act as the primary point of contact between the Director and internal/external parties.
    • Draft, prepare, and manage correspondence, including emails, letters, reports, and presentations.
  3. Travel and Logistics:

    • Arrange travel plans, including booking flights, accommodations, and transportation.
    • Prepare detailed itineraries for business trips and ensure smooth travel logistics.
  4. Office Administration and Support:

    • Provide administrative support, such as dictation, spreadsheet creation, and file management.
  5. Documentation and Confidentiality:

    • Organize and maintain important documents, records, and files.
    • Prepare and handle confidential materials with strict discretion.
  6. Meeting Coordination:

    • Schedule and organize meetings, conferences, and presentations.
    • Prepare agendas and take meeting minutes when necessary.
  7. Team Communication and Event Planning:

    • Manage communication within the team and coordinate internal and off-site events.

Required Skills and Qualifications:

  • Min 4+ years of experience in an executive assistant or personal assistant role reporting directly to upper management.
  • Excellent written and verbal communication skills.
  • Strong time-management skills with the ability to coordinate multiple projects concurrently.
  • Proficiency in office productivity tools and adaptability to new software systems.
  • A flexible team player, willing to adapt to changes and embrace challenges.
  • Proven ability to maintain confidentiality regarding sensitive company and employee information.
