About The Opportunity

We are hiring an Executive Assistant to support a Director within a growth-stage AI & technology group. This role provides high-trust operational and administrative support, improves executive productivity, and ensures smooth day-to-day leadership operations. The position is fully on-site in India and reports directly to the Director.Primary Title

(Executive Assistant to Director)Role & Responsibilities
  • Manage the Director's calendar: schedule, prioritize, and resolve conflicts for meetings, travel, and internal commitments.
  • Coordinate complex domestic and international travel logistics, itineraries, visas, and timely expense reconciliation.
  • Prepare and edit presentations, briefings, reports, and meeting materials with attention to accuracy and visual clarity.
  • Own meeting preparation and follow-up: draft agendas, record clear minutes, track action items, and ensure timely closure.
  • Serve as a primary point of contact for internal and external stakeholders, routing inquiries and proactively escalating issues.
  • Handle confidential documents and sensitive communications with discretion; maintain organized executive files and records.

Skills & Qualifications

Must-Have
  • Proven experience supporting C-level or Director-level executives in a fast-paced corporate environment.
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and Google Workspace.
  • Demonstrated expertise in calendar management and complex travel & expense coordination (Concur or equivalent).
  • Excellent meeting facilitation skills: agenda creation, minute-taking, and action-item tracking.
  • High level of discretion handling confidential correspondence and executive materials.
  • Professional written and verbal English; ability to synthesize information and present concisely.

Preferred

  • Experience supporting leaders in technology, AI, or software companies.
  • Familiarity with internal collaboration tools (Slack, Teams, Confluence) and basic project coordination.
  • Prior exposure to board or investor meeting logistics and executive event coordination.
