Job Description

Job Summary

The Executive Assistant to the Director will serve as a trusted partner, providing high-level administrative, operational, and coordination support. This role demands maturity, discretion, strong organizational skills, and the ability to manage multiple priorities seamlessly. The Executive Assistant will act as a key liaison between the Director and internal as well as external stakeholders, ensuring smooth day-to-day operations and effective communication at all levels.

Key Responsibilities

Executive & Administrative Support

  • Manage the Director’s calendar, appointments, meetings, and travel schedules with precision
  • Draft, review, and manage professional correspondence including emails, letters, reports, and presentations
  • Maintain and safeguard confidential records, documents, and sensitive information
  • Act as the primary point of contact between the Director and senior management, clients, and external partners

Coordination & Communication

  • Organize and coordinate meetings, prepare agendas, record minutes of meetings (MOM), and ensure timely follow-ups on action points
  • Liaise with department heads to track priorities, deadlines, and deliverables
  • Screen, prioritize, and manage incoming calls and communications on behalf of the Director

Business & Operational Support

  • Assist in preparing materials for business reviews, strategy meetings, and management presentations
  • Monitor ongoing tasks and projects, ensuring alignment with the Director’s directives
  • Provide administrative and coordination support for special assignments and strategic initiatives

Travel & Engagements

  • Coordinate travel arrangements and logistics as required
  • Occasionally accompany the Director or travel outside Delhi for official purposes (rare)

Key Skills & Competencies

  • Excellent verbal and written communication skills in English and Hindi
  • Strong planning, organizational, and time-management abilities
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask, prioritize, and perform efficiently in a fast-paced environment
  • Strong problem-solving skills with attention to detail
