Job Description

Job Title:

  • Manage the CEOs calendar, appointments, and travel arrangements with attention to detail and confidentiality.
  • Prepare briefing materials, presentations, and documents for meetings and business reviews.
  • Draft, proofread, and manage correspondence on behalf of the CEO.
  • Ensure timely follow-up on key tasks, projects, and decisions.
  • Screen and prioritize communication to and from the CEOs office.

Office Coordination & Communication:

  • Liaise with senior management, department heads, partners, and clients on behalf of the CEO.
  • Coordinate internal meetings, board sessions, and reviews; record minutes and track action points.
  • Manage confidential company documentation and records for the CEOs office.
  • Support corporate communications coming out of the CEOs office (emails, memos, announcements).

Project & Strategic Support:

  • Assist in research, data analysis, and preparation of strategic or operational reports.
  • Coordinate cross-functional initiatives and ensure alignment between departments.
  • Support high-priority project tracking and performance reporting for executive management.
  • Contribute to process improvements and operational excellence within the executive office.

Qualifications and Experience:

  • Bachelors degree in Business Administration, Management, or a related discipline.
  • 2-3 years of experience in an executive assistant or business support role, preferably in manufacturing, corporate, or technology sectors.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite, Google Workspace, and scheduling tools; knowledge of Zoho or similar enterprise platforms is an advantage.
  • Strong organizational, problem-solving, and multitasking skills with a proactive mindset.
  • High degree of professionalism, confidentiality, and discretion.
