Position Summary

We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to the Chairman & Managing Director. This individual will be responsible for effective calendar management, travel coordination, correspondence handling, and ensuring timely follow-up on all critical matters. The role demands excellent organizational, communication, and administrative skills, along with the ability to maintain confidentiality and work with senior leadership under dynamic conditions.

Key Responsibilities

  • Manage and coordinate the Chairman & Managing Directors daily calendar, scheduling meetings, appointments, and other engagements efficiently to optimize time management.
  • Organize and oversee domestic and international travel arrangements, including itinerary planning, booking transportation and accommodation, and preparing travel documentation.
  • Prepare, document, and circulate Minutes of Meetings (MOM), track action items, and ensure timely follow-up with all relevant stakeholders.
  • Monitor incoming emails and correspondence, highlight priority communications, draft responses, and maintain effective communication flow.
  • Maintain comprehensive trackers to monitor deadlines, commitments, and project updates, providing regular status reports to the Chairman & Managing Director.
  • Perform general secretarial duties including management of confidential documents, file organization, expense management, and preparation of reports and presentations as necessary.
  • Accompany the Chairman & Managing Director on travel as required, providing on-the-go administrative support.

Qualifications & Competencies

  • Bachelor’s degree or equivalent qualification.
  • Minimum of 8 years’ experience supporting C-suite executives, preferably in a multinational or large corporate environment.
  • Proficiency in shorthand, with high-speed typing and writing skills essential.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional verbal and written communication skills in English; additional languages such as Hindi or Marathi are advantageous.
  • Strong organizational capabilities with excellent attention to detail and ability to multitask effectively.
  • High level of discretion, confidentiality, and professionalism.
  • Flexibility and willingness to travel extensively with the Chairman & Managing Director.
