Job Title: Executive Assistant – Reporting & Coordination

Location: Sector V, Kolkata
Salary: ₹18,000 – ₹30,000 per month
Employment Type: Full-Time

Job Summary:

We are looking for a proactive and highly organized Executive Assistant – Reporting & Coordination to provide direct support to the Director. This role combines traditional EA responsibilities with internal reporting, coordination, and follow-ups across departments. The ideal candidate will be detail-oriented, confident in communication, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality.

Key Responsibilities:

Executive Support

  • Manage the Director’s calendar, appointments, meetings, and travel schedules.
  • Act as the primary point of contact between the Director and internal/external stakeholders.
  • Handle emails, calls, and correspondence with professionalism and discretion.

Reporting & Coordination

  • Collect daily/weekly/monthly reports from departments and employees.
  • Consolidate, review, and present reports in a structured and timely manner.
  • Follow up with teams to ensure timely submission of reports and action items.

Meetings & Documentation

  • Coordinate meetings, prepare agendas, record minutes, and track action points.
  • Prepare presentations, reports, and management documents as required.
  • Maintain organized records, files, and confidential documents.

Operations & Administration

  • Assist in project coordination, research, and task tracking.
  • Manage expense tracking, reimbursement records, and basic MIS reporting.
  • Support planning and execution of internal meetings, events, and conferences.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Minimum 2 years of experience as an Executive, or similar role.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
  • Strong verbal and written communication skills.
  • Excellent organizational, time-management, and follow-up abilities.
  • Ability to handle confidential information with integrity and professionalism.

Preferred Skills:

  • Experience in MIS reporting and data coordination.
  • Familiarity with Google Workspace or other cloud-based tools.
  • Basic knowledge of expense management and administrative processes.
  • Ability to work independently and proactively with senior leadership.
