Job Description

We are seeking a highly organized and proactive individual to join our team as an Executive Assistant (EA). The successful candidate will play a crucial role in supporting our core team by managing their schedules, coordinating meetings, handling communication, and providing administrative assistance. This position requires a professional and discreet individual who can work independently and collaboratively in a fast-paced and dynamic work environment.

Responsibilities:

Calendar Management:

  • Coordinate and manage complex executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Proactively anticipate scheduling conflicts and ensure efficient time management.

Communication Management:

  • Act as a primary point of contact for internal and external communications on behalf of the executives.
  • Draft and edit emails, memos, reports, and other documents with a high level of accuracy and professionalism.

Meeting Coordination:

  • Arrange and organize internal and external meetings, ensuring all necessary resources and materials are prepared.
  • Prepare meeting agendas, take minutes, and distribute relevant information as needed.

Travel Arrangements:

  • Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
  • Provide detailed itineraries and travel packs to executives prior to trips.

Document Management:

  • Organize and maintain executive files, documents, and records, ensuring confidentiality and easy retrieval.

Administrative Support:

  • Handle administrative tasks such as expense reports, invoice processing, and other ad-hoc requests.
  • Assist with special projects and initiatives as assigned by the executive team.
  • Relationship Management:
  • Build and maintain strong working relationships with internal and external stakeholders.
  • Serve as a liaison between executives and various departments within the organization.

Qualifications:

  • Bachelor's degree or equivalent experience.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle sensitive information with discretion.
  • Strong attention to detail and problem-solving skills.

Job Type: Full-time

Pay: ₹20,000.00 - ₹25,000.00 per month
