Role Overview: As an Executive-Administration in the Administration Department, your role will involve managing various administrative tasks to ensure smooth functioning of the institute. You will be responsible for handling office supplies, preparing reports, maintaining databases, organizing critical documents, and assisting in various admission processes. Key Responsibilities: - Manage office supplies stock and place orders. - Prepare regular reports on expenses and office budgets. - Maintain and update stock management databases. - Organize a filing system for important documents and agreements. - Answer queries from employees and students. - Attend to all correspondence, filing, and follow-up tasks generated by the GM (OPS) office. - Complete booking for auditorium, boardroom, amphitheatre, and meeting rooms for events. - Assist in admission processes for courses, including verification of documents and hostel bookings. - Issue blank forms for hostel booking and maintain a proper database for forms received. - Assist in the allotment of hostels and ensure completion of necessary forms from students. - Coordinate correspondence with parents and students regarding hostel accommodations. - Maintain records and renewals of housekeeping, security, and other contracts. - Order required services like flower decorators for events such as convocation. - Assist in canteen affairs and events management within the institute. - Prepare order forms for canteen orders and keep track of pending invoices and agreement renewals. - Assist in infrastructure-related work and ensure timely completion. - Perform any other tasks related to administration and facility management to support the institute's day-to-day and special activities. - Offer services on Sundays/holidays if required, with compensatory off considered. - Additional responsibilities may be assigned as needed throughout the year.
