Job Description – Off-Roll Executive (Administration – Canteen & Transport)
Department: Administration
Location: Manufacturing Plant
Employment Type: Off-Roll / Third-Party Payroll
Reporting To: Admin Manager / Plant HR & Admin Head
Job Purpose
To provide on-ground administrative support for efficient functioning of canteen services and employee transportation. The role focuses on daily coordination, vendor supervision, monitoring operations, and ensuring smooth employee experience.
Key Responsibilities1. Canteen Operations SupportMonitor daily canteen operations, ensuring timely breakfast/lunch/dinner distribution.
Coordinate with catering vendor staff for quantity, hygiene, and service quality.
Conduct routine checks on food quality, cleanliness, and kitchen hygiene.
Record meal counts and submit daily/weekly MIS reports.
Collect employee feedback and escalate issues to Admin Manager.
Monitor stock usage, wastage, and support cost-control measures.
Ensure canteen area upkeep (cleaning, pest control, seating, utilities).
2. Transport Operations SupportCoordinate daily employee transportation schedules (buses, vans, shuttles).
Track vehicle arrival/departure timings and report delays or breakdowns immediately.
Maintain route sheets, trip logs, and daily attendance of transport staff.
Ensure drivers follow safety guidelines and company rules.
Assist in handling transport grievances and escalate issues to concerned authorities.
Monitor compliance of vehicles (insurance, FC, permits, etc.) through vendor coordination.
3. Vendor & Contractor SupportAct as the first point of contact for canteen and transport vendors.
Monitor vendor manpower presence (cooks, servers, drivers, etc.).
Report performance issues and participate in periodic review meetings.
Assist in maintaining vendor documents and monthly bill verification.
4. General Administrative SupportEnsure cleanliness and housekeeping around canteen and transport zones.
Support in organizing food arrangements for events, meetings, and special shifts.
Prepare daily/weekly/monthly MIS reports and submit to Admin Manager.
Adhere to company policies, safety rules, and administration SOPs.
Skills & Competencies RequiredStrong coordination and communication skills
Basic knowledge of canteen and transport operations
Ability to manage vendor staff effectively
Problem-solving and quick response in emergency situations
MS Office proficiency (especially Excel)
Education & Experience
Qualification: Any graduate / Diploma
Experience: 1–3 years in administration support roles (manufacturing industry preferred)
Experience with canteen or transport operations is an added advantage.
