Job Description

As an Event Coordinator at our company, you will play a crucial role in planning and executing internal and external events across our 22 offices, catering to a workforce of approximately 2,000 employees. Your dynamic and detail-oriented approach will be instrumental in creating memorable experiences for all participants. - **Event Planning & Execution:** - Plan, coordinate, and execute various corporate events, including Annual Day Celebrations, Festival Events (e.g., Diwali, Holi, Ganesh Chaturthi), Employee Engagement Activities, CSR Initiatives, Townhalls, and Leadership Meets. - Collaborate with regional teams to ensure consistent event experiences across all office locations. - Develop event concepts, themes, and timelines that align with our company culture and goals. - Coordinate logistics such as venue booking, travel, accommodation, and on-site arrangements. - **Vendor Management:** - Identify, evaluate, and onboard reliable vendors for event-related services like catering, decor, audio-visuals, printing, and logistics. - Negotiate pricing to secure cost-effective solutions without compromising quality. - Maintain a vendor database and assess performance post-events for future reference. - Handle vendor escalations promptly to ensure smooth event execution. - **Budgeting & Reporting:** - Prepare and manage event budgets while ensuring adherence to financial guidelines. - Track expenses and provide post-event financial reports alongside ROI analysis. - Maintain documentation of all event-related activities, contracts, and feedback. - **Communication & Branding:** - Collaborate with the marketing and design teams for event branding, internal communication, and promotional materials. - Ensure brand consistency across all event touchpoints. **Qualifications:** - Bachelor's degree in Event Management, HR, Mass Communication, Hospitality, or related field. - 2-4 years of experience in corporate event planning or employee engagement roles. - Strong organizational and multitasking skills. - Excellent communication and interpersonal abilities. - Proficiency in MS Office and event management tools/platforms. Your success in this role will be enhanced if you possess the following preferred skills: - Experience in managing multi-location events. - Creative mindset with attention to detail. - Ability to work under pressure and meet tight deadlines.,
