Position Overview:

The Event Coordinator for the DACA Department will be responsible for planning, organizing, and executing departmental events such as exhibitions, workshops, festivals, competitions, guest lectures, and cultural showcases. The role requires creativity, strong organizational skills, and coordination with faculty, students, and external collaborators to ensure smooth execution and impactful event experiences that align with the department’s academic and creative goals.


Key Responsibilities:


1. Event Planning and Coordination

  • Plan, schedule, and manage events such as art exhibitions, film screenings, design showcases, student festivals, and academic conferences.
  • Coordinate logistics including venue setup, technical requirements, permissions, and hospitality arrangements.
  • Develop detailed event plans, timelines, and checklists to ensure seamless execution.

2. Collaboration and Communication

  • Work closely with faculty members, student coordinators, and university administration.
  • Liaise with vendors, sponsors, and external speakers or guests for event participation.
  • Maintain clear communication channels among all stakeholders involved in event planning.

3. Promotion and Outreach

  • Assist in creating promotional materials (posters, social media posts, invites, etc.) in collaboration with the creative team and DACA media cell.
  • Promote departmental events through online and offline channels to ensure maximum engagement.
  • Maintain documentation of all events for departmental records, website, and social media.

4. Budget and Resource Management

  • Prepare event budgets and ensure effective utilization of funds.
  • Source and manage event materials, decorations, and technical equipment within budget limits.
  • Prepare post-event reports, including budget summaries and feedback analysis.

5. Student Engagement

  • Guide and mentor student volunteers or committees in event organization.
  • Encourage student participation and ownership of creative initiatives.


Qualifications and Skills:

  • Bachelor’s degree in Event Management, Mass Communication, Fine Arts, Design, or related field (Master’s preferred).
  • 2–5 years of experience in event coordination, preferably in an academic or creative environment.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Creative thinking and problem-solving capabilities.
  • Proficiency in MS Office, Google Workspace, and familiarity with design tools (e.g., Canva, Photoshop) is an advantage.
  • Ability to work under pressure and meet deadlines.
