Job Description

Main Function of Job:

Student Data and Governance (SDG) is a department within the Universitys Registry function charged with a broad range of accountabilities, including ensuring the quality, use and accessibility of student data within the University for operational, management information and regulatory purposes, as well as supporting the management of the Universitys new Student Record System, Banner.

The role holder will be responsible for the oversight, management, design and provision of effective and appropriate training and development to support our new Student Information System, Ellucian Banner. This will involve close collaboration with technical Subject Matter Experts to design, develop, deliver and evaluate the training approach for ULaw. This role will also support the business to establish and develop approaches to professional knowledge, skills and behaviour transfer and ongoing organisational change readiness, in collaboration with other teams and departments within the University.

The role holder will ensure that training and development approaches and methods are planned and deployed to facilitate the delivery of effective and lasting change across the University. They will work closely with stakeholders across the University to support learning needs analyses, complete change readiness assessments, build new collaborative working practices and deliver training for a variety of groups and teams across multiple and concurrent strands.

The role holder will display the core knowledge, skills and behaviours required to support, advance and promote professional technical system learning within an HE or similar organisation. This will include knowledge of Ellucian Banner software products as well sector trends and best practice.

Reporting Line:

The Training Manager will report to the Head of Student System and Reporting.

Specific Responsibilities:

Training planning and design

  • Collaborate with Subject Matter Experts to lead the development, delivery and continuous improvement of an effective, flexible and cost-effective training provision.
  • Collaborate to understand how the new student information system will impact colleagues, and oversee the development of appropriate learning content, curriculum, and delivery processes.
  • Develop a learning framework and needs analysis approach, identifying learning needs of system users with different roles and learning needs.
  • In collaboration with key stakeholders, create, co-ordinate and review a training plan and schedule for the implementation of user training.
  • Review and monitor the training resources and amount of time/resources required to complete training for trainers and users to the agreed quality cost and time criteria.
  • Collaborate with Subject Matter Experts to create engaging, effective and accessible training materials and supporting resources to be delivered face-to-face, online and via video.
  • Plan for the evaluation of the impact of training and the transfer of learning into the organisation.
  • Coordinate to ensure training contributes to the overall delivery of the new system.

Training delivery

  • Collaborate with Subject Matter Experts to ensure that training materials and supporting resources meet the needs of users.
  • Apply defined structured learning management approaches and methodologies for the scheduling, implementation and tracking of training.
  • Guide and advise key stakeholders to identify learners and roll-out training to their respective teams and departments.
  • Collaborate with subject matter experts to design training evaluation methodologies and generate reports on this evaluation. Use the outcomes of the evaluation to adapt and improve future delivery of training and adjust the training approach where necessary.
  • Identify risks and dependencies that impact the timing of training delivery and implement appropriate mitigations.
  • Co-ordinate training activities to ensure they are delivered in a timely manner, in alignment with development plans and the work-flows of target teams and departments.
  • Review and monitor quality assurance of training materials, training delivery, supporting resources, documentation and delivery platforms.
  • Analyse and solve training problems and address barriers to successful adoption of new knowledge and skills.

Planning

  • The role will be responsible for planning their own workload, reporting progress on achieving milestones and completing deliverables to the line manager.

Business Focus

  • Work to ensure that ongoing knowledge transfer is in place, so that the benefits of the new ways of working continue to be transferred, shared and realised in the University.
  • Develop an understanding of the business and how it functions so this can reflect in designs and analysis undertaken
  • Promote and sustain a constructive and supportive working relationship with all customers, external and internal, immediate and senior management and other work colleagues.
  • Support implementation and testing of data solutions for the new system.

General Responsibilities

Essential

  • Education to degree level or
  • Substantial experience, demonstrating development through involvement in a series of progressively more demanding relevant work/roles, and the acquisition of appropriate professional or specialist knowledge

Desirable

  • Relevant training qualification
  • Experience of online project collaboration and presentation systems such as Miro, Slido, Mentimeter

2.

Essential

  • Experience of delivering training on Ellucian software solutions.
  • Experience of gaining knowledge and understanding of technical systems quickly and transferring that knowledge into training and development activities.
  • Experience of developing, delivering, and managing both process and technical systems training as well as their associated skills and behavioural competencies.
  • Experience of presenting information in an engaging and memorable way, at varying levels of complexity, across various group sizes to audiences of differing professional roles.
  • Experience of collaborating with colleagues to develop effective training frameworks that are focussed on ensuring high level of adoption, supporting the transition to business as usual
  • Experience of delivering easily accessible knowledge centres/repositories of resources including user guides and instructional videos
  • Able to understand and interpret the collective and individual needs of learners and develop appropriate resources and structures to support them
  • Experience of working successfully in a complex and fast-moving environment

Desirable

  • Experience specifically within the Higher Education Sector, providing valuable insights into its unique requirements and challenges.
  • Experience of analysis, interpretation and reporting of data.

  • Ability to independently prioritise activities, in line with agreed goals
  • Excellent face to face communication skills, including experience of delivering presentations, facilitating events and delivering training face-to-face, online and via video recordings.
  • Ability to manage high volume workload and maintain high standards
  • Ability to analyse and solve problems with an appreciation of longer-term implications
  • Ability to work collaboratively as part of a multi-disciplinary team
