Role Overview: The Executive Assistant (EA) to the Director will serve as a key support resource, responsible for managing high-level administrative tasks and ensuring the Directors office operates efficiently. This role demands excellent communication, organizational, and problem-solving skills, along with the ability to handle confidential information with professionalism and discretion. The EA will act as a bridge between the Director and various internal and external stakeholders to support institutional priorities and daily operations. Qualification: Bachelor’s degree in Business Administration, Education, or related field (Master’s preferred). Minimum 3–5 years of experience in an executive assistant or administrative role, preferably in an academic or corporate settings. Proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Workspace, and digital communication tools. Skills: Exceptional written and verbal communication skills Strong organizational and time-management abilities High level of discretion and integrity in handling sensitive information Ability to multitask, prioritize, and work independently Strong interpersonal skills to liaise effectively across departments and with external contacts Detail-oriented with an eye for accuracy in documentation and scheduling Professional demeanor and adaptability in fast-paced environments Key Responsibility: Manage and maintain the Director’s calendar; schedule and coordinate meetings, appointments, and engagements Draft, review, and manage correspondence, reports, emails, and presentations on behalf of the Director Serve as a liaison between the Director and internal teams, staff, vendors, parents, and external stakeholders Organize meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items Prepare and compile documents, data, and presentations for reviews, inspections, and strategic meetings Maintain organized and secure documentation and filing systems for academic and administrative records Assist in planning and coordinating events, audits, and school inspections Handle travel planning, including booking accommodations, preparing itineraries, and managing logistics Track project deadlines and assist the Director in monitoring progress and deliverables Ensure efficient communication flow and timely dissemination of information across departments Provide strategic support in task management, follow-ups, and daily coordination Behavioral Attributes: Collaborative Influencer : Builds effective cross-functional partnerships and fosters teamwork.
