Job Description

Job Purpose

The Document Controller will be effectively managing the documents exchanged with Client and other Stakeholders for all the Projects under Energy Vertical (Beginning with Smart Metering Project).

Key Accountabilities

His primary objectives are support in the following: –
  • To do the management of a library of official documents (Correspondence Register) Correspondences/Emails/Position Papers/MOMs/Monthly Progress Reports/SLAs linked to the Main contract (RFP) with our customer (link to have with Lead/Head Contracts Manager), library auditable at any time by the customer.
  • To do the management of a library of official documents (Correspondence Register) Correspondences/Emails/Position Papers/MOMs/Monthly Progress Reports linked to the contract with all our Vendors (link to have with the Lead/Head Contracts Manager), library auditable at any time by the Management.
  • Maintaining and Coordinating with the Implementation team for monthly progress/SLA reports submitted to Customer.
  • Leading the maintenance of security of data and managing the secure access of various tools & server as per management guidelines.
  • Creating MIS report and presenting it to the Management.
  • Designing reporting formats to provide accurate information in a clear and concise manner.
  • To do management of Event Register/Hindrance Register in coordination with Implementation Team.
  • To do management of Variation and Claim Register under strict guidance form Lead Contracts Manager.
  • To do management of Invoicing Register (Customer) under strict guidance from Lead Contracts Manager and coordination from Accounts department.
  • To do management of Invoicing Register (Vendors) under strict guidance from Lead Contracts Manager and coordination from Accounts department.
  • To do effective Coordination with all Department Heads (Internal) as well as Coordination with Customer as and
when required.
  • To support Lead Contracts Manager in management/documentation of all Contemporary records which are essential for Claims related to Time and Cost.

EXTERNAL INTERACTIONS

  • Manage Project documentation.
  • Coordination with Internal and External project Stake-holders.
  • Coordination with Multiple Vendors: Interact and coordinate with multiple vendors to fulfill Project requirements

INTERNAL INTERACTIONS

  • Busineess team at Corporate and Project Team at Site for various actions related to Project Documentation.
  • Interact with all supporting functions of Smart Metering Project.

Education Qualifications

Candidate must possess at least a Bachelor's/College Degree, Full time Diploma in Office Management.

Relevant Experience

  • At least 9-10 year(s) of working experience in the related field is required for this position with at least 3 year in assisting Top Management.
  • Applicants must be willing to work in Multi-tasking.
