Job Summary: The Senior / Director Administration and Facility (Technical) will be responsible for the strategic and operational leadership of the Facilities Management team, with direct oversight of Building Management, Technical (Mechanical and Electrical), Project Management, infra modification, Real estate, leasing, Physical security. The role requires ensuring high standards of facility maintenance, cleanliness, safety, and compliance. The position is crucial to delivering a seamless, comfortable, and premium experience while upholding the organizations sustainability, safety, and operational goals. Job Responsibilities: Leadership and Strategy: Develop and implement facilities management strategies aligned with company’s mission and operational objectives. Have the capability to motivate and supervise, ensure goals and targets are met and KRAs are clearly defined, ensure team meets the defined SLAs for all administration services. Facilities Operations Management: Developing and managing a range of Admin Operations & Maintenance, Liaising, Physical Security, Safety Audit, Purchase, Asset Management, and Facility Management. Planning, prioritizing and managing maintenance activities and upgrades to equipment, facilities, and systems to minimize disruptions to the business activities and use the organization's resources effectively. Ensuring Client management, Vendor management, and Event management is well managed. Liaising with stakeholders to ensure that administration policies, programs, and activities are appropriate for their current and future needs. Health, Safety, and Compliance: Ensure adherence to health, safety, and environmental regulations in all facilities operations. Conduct regular inspections and audits to identify and address compliance gaps. Collaborate with the Risk & compliance and security teams on training and compliance programs for team members, especially in high-traffic areas. Budgeting and Financial Management: Prepare, track, and manage the annual facilities budget, including costs related to building and technical supplies, and vendor contracts. Develop cost-saving initiatives and assess cost-effective options for water and waste management without compromising service quality. Vendor and Stakeholder Management: Build and maintain effective relationships with external vendors and contractors to ensure high-quality and timely service delivery. Evaluate and negotiate contracts with service providers for housekeeping supplies, and specialized services. Act as the point of contact for internal stakeholders, addressing facilities-related requirements and managing feedback on building and technical performance. Sustainability Initiatives: Develop and execute sustainability practices across facilities operations, aligning with company’s environmental goals. Implement waste reduction, water conservation, and energy efficiency measures to support company’s sustainability objectives. Monitor and report on the impact of sustainability initiatives and adjust practices as needed. Performance Monitoring and Reporting: Establish and monitor performance metrics for Maintenance and building management, ensuring continuous improvement. Prepare regular reports on facilities management, safety compliance, budget utilization, and sustainability metrics. Present updates and insights to senior management, offering recommendations for future improvements. Minimum requirements (Education Qualification & Work Experience): Education Qualification: Bachelor's degree in mechanical, electrical, or industrial engineering. A master’s degree or relevant certifications (e.g., Facility Management Professional, Certified Facility Manager) is preferred. Work Experience : 15+ years of experience in facilities management, with at least 5 years in a leadership role, ideally within BPO, IT& ITES, hospitality, or commercial properties. Technical Skills: Strong knowledge of Building Management, Technical (Mechanical and Electrical), Project Management, infra modification, and asset management. Excellent budget management, vendor negotiation, and contract management skills. Proven record in implementing sustainability initiatives in facilities operations. Exceptional leadership, communication, and team management skills. Knowledge of health, safety, and environmental regulations within a commercial or hospitality setting. Working Environment: Ability to work in a fast-paced BPO environment, with some weekend and evening work as required to oversee operations. Physical demands include frequent walking, standing, and interacting with, building management, technical and security teams across facilities.
