Deputy Stores Manager

Role & responsibilities

1. Material Management:

• Manage timely receipt, storage, and issuance of materials at the store/stockyard.
• Maintain inventory through a computerized system and ensure proper documentation.
• Ensure minimum stock levels of required items as per the project schedule.
• Implement and manage a centralized store management system.
• Ensure timely issuance of materials as per expiration dates and consumption schedules.
• Segregate scrap or expired materials and coordinate their disposal or resale.

2. Inventory Management:

• Implement efficient inventory management strategies and conduct regular stock counts.
• Monitor daily stock movements and verify shipment accuracy.
• Track consumption patterns and adjust inventory levels accordingly.
• Ensure monthly accurate stock reports for each project site and store.
• Conduct physical verification of stock across all project sites as per requirements.
• Coordinate the movement of materials between stores based on project needs.
• Ensure inventory compliance with audit and management requirements.

3. Requisition and Procurement Coordination:

• Verify purchase requisitions against inventory and coordinate with the procurement team.
• Ensure GRNs match purchase orders and maintain accurate records.
• Cross-check GRNs issued by site stores and ensure quality verification.
• Coordinate with vendors as per material requirements.
• Facilitate approval of GRNs at the head office level.
• Work closely with project coordinators for material and logistics planning.

4. Stock Reconciliation and Reporting:

• Conduct regular reconciliations of physical stock with system records.
• Prepare reports on inventory levels, consumption patterns, and stock movements.
• Ensure timely updates to management regarding inventory movements.
• Ensure accurate documentation and reporting for inventory compliance.

5. Warehouse Operations:

• Optimize warehouse layout for efficient storage and internal inventory movement.
• Collaborate with logistics providers for timely transportation of goods.
• Ensure coordination with site stores and engineers for material logistics.
• Should maintain daily in out and closing stocks report

6. Quality Control:

• Ensure compliance with quality standards and address issues with damaged or defective goods.
• Implement and monitor quality checks on materials received at site stores.
• Ensure quality inspection on each GRN issued by the site store officer.

7. Documentation and Record-Keeping:

• Maintain records for GRN, delivery receipts, invoices, material issuance vouchers, gate passes, and attendance registers for

store personnel.

• Keep daily records of equipment, machinery operations, and consumables.
• Collect and manage documents from site stores related to material delivery and purchase orders.
• Create and manage material and vendor codes in collaboration with the procurement team.

8. Safety and Quality Practices:

• Monitor and maintain safe and quality working practices at the site store/stockyard.
• Implement waste management processes and ensure proper material disposal.
• Develop a 5S schedule for each store and conduct timely cross-checks.

Preferred candidate profile

quired Knowledge and Skills:

• Sound knowledge of storekeeping operations and materials used in Mechanical, Civil, and Electrical projects.
• Proficiency in inventory management systems and documentation.
• Strong analytical skills for stock tracking and reconciliation.
• Effective communication and coordination with procurement, logistics, and site teams.
