Job Description

Job Title: Customer Service Representative (CSR)

Location: Ahedabad

Reports To: Front Office Manager / Operations Manager / Branch Manager

Department: Front Office / Patient Services

Employment Type: Full-Time

Job Objective: To provide courteous, efficient, and patient-centric front-desk and customer service support at the Ayurvedic Hospital.

The CSR is the first point of contact for patients and visitors and plays a key role in ensuring a positive patient experience that reflects the values of Ayurveda and holistic healing.

Key Responsibilities:

1. Front Desk Operations:

Greet and assist all walk-in patients, visitors, and guests with warmth and professionalism. Manage patient registration, appointment scheduling, and billing coordination.

Guide patients through hospital services, departments, and procedures.

2. Patient Interaction & Service:

Educate patients about Ayurvedic treatments, therapy packages, and seasonal programs. Respond to patient queries related to consultations, Panchakarma, pharmacy, or other hospital services.

Ensure timely communication with doctors and therapists regarding patient needs.

3. Call Handling & Follow-ups:

Answer incoming calls promptly and professionally.

Handle appointment bookings, rescheduling, and service inquiries.

Follow up with patients for feedback, reminders, and post-treatment care as required.

4. Coordination & Support:

Coordinate with therapists, doctors, pharmacy, and housekeeping to ensure smooth service delivery.

Support in managing queues and ensuring minimal waiting time.

Assist in maintaining medical records and treatment files, both physical and digital.

5. Billing & Payments:

Handle billing and payment collection processes.

Coordinate with accounts team for cash, UPI, card, or insurance transactions.

Ensure proper documentation and record-keeping of all transactions.

Required Qualifications & Skills:

Education:

Minimum: Graduate (any stream preference for B.Com, BBA, or BA)

Certification in Customer Service or Front Office Management (preferred)

Experience:

1-3 years in a customer service/front desk role, preferably in healthcare or wellness industry. Skills:

Strong communication skills in English, Hindi, and local language.

Good knowledge of Ayurvedic terms (or willingness to learn quickly).

Computer proficiency MS Office, CRM/HMIS systems.

Calm, patient-friendly, and professional attitude. Ability to multitask and handle pressure.

Patient-centric approach with attention to detail.

Respect for traditional and Ayurvedic healing principles.

Punctual and well-groomed.

Work Environment:

Ayurvedic OPD & IPD setting Wellness clinics and Panchakarma units Occasional involvement in events, health camps, and guest management
