Job Description

Transition & Key Handover Management

  1. Coordinate and manage the key handover process from the developer to individual owners with the KHO team and check for post-KHO snags.
  2. Conduct detailed unit snagging and inspection alongside KHO team , identifying defects and following up on rectifications.
  3. Maintain accurate and updated records of handovers, keys, and resident acknowledgements.
  4. Work closely with the construction, engineering, and legal teams to ensure complete and thorough documentation transfer (drawings, warranties, O&M manuals, service contracts, etc.).
  5. Identify incomplete works, pending warranties, and liability obligations and ensure follow-up before the Defect Liability Period (DLP) ends.
  6. Follow the SOPs for building operations
  7. Manage day-to-day operations, including common area maintenance, security, housekeeping, waste management, and facility upkeep.
  8. Appoint, train, and manage vendors, contractors, and service providers as per the SOPs.
  9. Implement preventive maintenance programs for mechanical, electrical, and plumbing (MEP) systems.
  10. Ensure compliance with all statutory and regulatory requirements, including fire safety, elevator inspections, and DG set certifications.
  11. Act as the primary liaison between residents and management for complaints, service requests, and communication and use BelliVie.
  12. Manage residential communication systems, in the apps, notice boards, and meetings.
  13. Assist in preparing and managing the AOP for the tower.
  14. Track and oversee CAM expenditure
  15. Ensure proper documentation of expenses, vendor bills, and financial records.
  16. Prepare all documentation necessary for the formation of the CHSL.
  17. Facilitate smooth transition and handover of management and operations to the elected CHSL body.
  18. Ensure all pending technical and administrative matters are addressed before CHSL handover.
  19. Strong knowledge of property management, building systems, and legal compliance.
  20. Excellent communication and coordination skills.
  21. Ability to handle resident grievances professionally and empathetically.
  22. Vendor management and contract negotiation skills.
  23. Organizational skills with attention to documentation and timelines.
  24. Financial acumen for budgeting and expense tracking.
  25. Full-time on-site presence required.
  26. Flexibility to handle after-hours emergencies when necessary.
  27. Interaction with multiple stakeholders: residents, developers, vendors, government bodies, and CHSL members
