Job Summary:

The HR Contract Management Executive will be responsible for managing employee contract renewals, preparing staff request letters, maintaining accurate documentation, and supporting HR Operations and Talent Acquisition functions. This role requires a high level of accuracy, efficiency, confidentiality, and the ability to manage high-volume administrative tasks while ensuring adherence to HR policies and compliance standards.

Key Responsibilities:

1. Contract Management

  • Process 80100 employee contract renewals per month in alignment with organizational policies and timelines.
  • Maintain contract trackers, follow up with stakeholders, and ensure all renewals are documented and recorded accurately.
  • Coordinate with the HR Business Partner and relevant departments for final approvals.

2. Staff Request Letters & Documentation

  • Prepare 100150 staff letters per month, including employment letters, transfer letters, confirmation letters, and other HR-related documents.
  • Ensure documentation accuracy, standardized formatting, and version control of all HR letters.
  • Maintain both physical and digital employee files as per compliance and audit guidelines.

3. HR Operations Support

  • Support the HR Operations team in routine activities such as employee data updates, HR system entries, and verification processes.
  • Assist in HR audits, monthly reporting, and special HR initiatives as required.

4. Recruitment Support

  • Support the Talent Acquisition team with candidate sourcing, resume screening, and interview coordination.
  • Maintain recruitment dashboards and update candidate pipelines for assigned roles.

Required Skills & Competencies

  • Hands-on experience in contract renewals, staff letter preparation, and HR documentation.
  • Good understanding of HR operations, record management, and compliance requirements.
  • Experience in sourcing and screening candidates for recruitment.
  • Strong communication skills (written and verbal).
  • Excellent attention to detail and ability to handle high-volume tasks efficiently.
  • Proficiency in MS Office applications and familiarity with HRIS tools (preferred).
  • Strong organizational and time management abilities.

Requirements:

  • Bachelors or PGDM in Human Resources
  • 1 to 3 years of experience in HR Operations
  • Proficiency in Advanced Excel for data preparation, reporting and Analytics
  • Flexibility and adaptability to work effectively within tight deadlines and adapt to changing priorities
