Job Profile:

The Commercial Assistant supports the commercial, sales, and procurement functions by managing documentation, order processing, coordination with customers & vendors, and ensuring smooth execution of commercial operations. The role demands accuracy, strong follow-up, and familiarity with chemical industry processes.

Assist in Overall Commercial Functions:

  • Support the Commercial Manager in daily operations including sales support, purchase coordination, logistics, and documentation.
  • Help ensure smooth execution of commercial activities by maintaining records, preparing documents, and coordinating between departments such as production, QC, logistics, accounts, and stores.

Initial Step in Marketing Coordination with Existing Customers:

  • Act as the first point of contact for routine communication with existing customers.
  • Share product details, availability updates, quotations, and delivery schedules as required.
  • Collect customer requirements, order intents, and feedback and update the sales team accordingly.
  • Maintain customer databases, communication logs, and follow-up trackers to ensure timely responses and customer satisfaction.

Initial Step in Raw Material (RM) Purchase Coordination with Existing Suppliers:

  • Coordinate with approved suppliers for raw material inquiries, quotations, availability, and delivery timelines.
  • Prepare and issue purchase requisitions and share order confirmations after approval.
  • Follow up with vendors for timely delivery of raw materials in line with production plans.
  • Maintain supplier records, rate contracts, and communication history for easy reference.

Tracking of Operations, Dispatches, and Procurement:

  • Monitor the progress of production, packaging, and order fulfilment to ensure timely dispatch of customer orders.
  • Track all outbound dispatches and inbound raw material receipts and update relevant teams.
  • Maintain a systematic record of pending orders, goods in transit, and stock availability.
  • Highlight delays or issues in dispatch and procurement to the commercial or operations team for timely resolution.

Data Keeping & Documentation Management:

  • Maintain accurate and organized records of sales orders, purchase orders, invoices, dispatch documents, and stock reports.
  • Update ERP/Excel files regularly to reflect real-time data for commercial activities.
  • Keep track of customer and vendor master information, pricing sheets, agreements, and statutory documents.
  • Prepare monthly MIS reports for sales, purchase, inventory, payments, and dispatches.

Coordination with Transporters & Logistics Partners:

  • Deal with transporters for arranging vehicles, confirming freight charges, and scheduling dispatches.
  • Ensure timely pickup and delivery of goods by closely coordinating with logistics service providers.
  • Prepare and share dispatch documents such as delivery challans, packing lists, invoices, and e-way bills with transporters.
  • Track shipment status and provide updates to customers and internal teams.
  • Maintain transporter database with rates, service performance, and contact details.

Desired Profile:

  • Graduate in Commerce/Science/Business Administration.
  • 14 years of experience in commercial operations, preferably in Chemicals / API / Pharma / Specialty Chemicals industry.
  • Strong knowledge of commercial documentation and GST compliance.
  • Good communication and coordination skills.
  • Proficiency in MS Office (Excel, Word) and ERP systems (SAP / Tally / Oracle preferred).
  • Attention to detail and ability to multitask.
  • Understanding of chemical products, safety norms, and industry terminology (preferred).
