Job Description

Position Overview


The Chief of Administration & Infrastructure will lead the end-to-end administrative function

across all company locations — including corporate offices, factories, and retail stores. This

leadership role is responsible for Administration Operations, Infrastructure, and Compliance International & Domestic Travel, Security & Safety, Event & Transportation Management, Factory Administration. The incumbent will establish governance frameworks, drive operational excellence, and ensure a safe, efficient, and cost-effective working environment aligned with business goals.


Key Responsibilities


1. Administration & Facility Management

• Lead administration operations across Head Office, manufacturing units.

• Oversee facility management, housekeeping, maintenance, utilities, AMC

management, and vendor coordination.

• Develop and implement administration SOPs to ensure consistency, service quality,

and compliance.

• Drive digital transformation in admin processes through automation and dashboards.


2. Infrastructure & Compliance

• Manage infrastructure planning, upkeep, and renovation projects.

• Plan, design, and oversee infrastructure expansion in alignment with organizational

growth (e.g., new offices or manufacturing units).

• Ensure factory, building, and workplace compliance with statutory and safety

norms.

• Oversee fixed asset management across facilities, including furniture, fixtures,

equipment, and utilities

• Develop and implement preventive maintenance schedules for electrical,

mechanical, HVAC, plumbing, and other building systems to minimize downtime.

• Work in collaboration with the Projects and Facilities teams to define layout, space

utilization, and facility design that reflect brand identity and functional efficiency

• Liaise with pollution control boards, municipal corporations, fire departments,

and other regulatory authorities for necessary approvals, renewals, and inspections.


3. International & Domestic Travel Management

• Manage end-to-end corporate travel — including visa processing, passport

renewals, forex, and travel insurance.

• Partner with travel agencies to ensure cost-effective and compliant arrangements for

employees and senior management.

• Develop and monitor company-wide travel policy, focusing on optimization and

traveler safety.


4. Security & Safety Management

• Lead security operations across corporate and factory premises.

• Oversee CCTV, access control, surveillance systems, and emergency response

protocols.

• Ensure employee safety, fire safety drills, safety audits, and workplace risk

assessments.

• Collaborate with local law enforcement, security agencies, and internal safety

committees.


5. Factory Administration Operations

• Supervise administration activities for all offices & factory ensuring brand-standard

compliance in maintenance and facilities.

• Provide administrative support for store openings, expansions, and relocations.

• Oversee factory administration including facility upkeep, employee amenities, and

local coordination.


6. Employee Transportation Management

• Oversee employee transport operations including vendor management, routing,

safety, and cost efficiency.

• Ensure proper fleet utilization, employee convenience, and adherence to company

safety norms.

• Implement technology-enabled systems for route tracking, cost optimization, and

grievance management.


7. Event Management

• Plan and execute corporate events, leadership offsites, employee engagement

programs, and brand showcases.

• Coordinate with cross-functional teams, external vendors, and venue partners for

seamless execution.

• Manage event budgets, logistics, and end-to-end vendor contracts.


8. Canteen Operations & Management

• Oversee cafeteria and canteen services across office and factory locations.

• Drive quality, hygiene, and FSSAI compliance for food safety.

• Manage catering partners, meal planning, cost budgets, and employee satisfaction.

• Introduce continuous improvements in meal experience and service delivery.
