Job Summary

The Assistant Manager - procurement handles the following responsibilities in addition to the role of the procurement Executive.

Supervise day to day procurement related activities within the fleet and provide guidance to the executives as necessary.

Back up vessels during absence of the executives.

Qualifications:

Graduate

Experience:

4 - 6 years of Procurement experience with an organization, Preferred Shipping Industry.

Skills Required:

Good Communication Skills

Good Negotiation Skills

Good Knowledge of Microsoft Office

Roles & Responsibilities:

  • Ensure the use of approved and preferred vendors within the assigned fleet.
  • Ensure that the purchase procedures are complied with in the fleet.  
  • Addressing vendor queries regarding outstanding payments and take necessary actions.
  • Hands on training of newly appointed procurement executives.
  • Monitor the invoices and ensure clearance of payments within the agreed credit terms.
  • Monitor the Open PRs and POs regularly within the fleet and guide the executives to close them within time as per procedure.
  • Actively involve during any emergency issues and support Superintendent and Executive. APM must involve him / herself in all emergency cases within the fleet. Ensure that the executive is keeping APMs in CC of the email communications during emergency cases.
  • Identify alternate options for getting quotations whenever maker or vendors unable to provide quotations.
  • Get feedbacks regularly from the Executives about vendors delaying quotations, spares and invoices. Collate these feedbacks and provide to vendor management team / Manager-procurement on monthly basis. 
  • Consolidate bulk purchase requirements for the fleet vessels and coordinate with Manger Procurement and Strategic sourcing team. Take up projects related to procurement as and when assigned.
  • Periodically carry out checks on the quoted prices and contracted prices and escalate any discrepancies.
  • Attend weekly meetings with Manger-procurement and provide a report on fleet performance.
  • Monitor and maintain Key performance indicators for the fleet.
  • Resolve disputes with suppliers concerning price / quality / quantity of goods supplied before invoices are paid.
  • Take up responsibilities of procurement and arranging services related to dry docking and vessel takeover into the fleet. 
  • Follow up with accounts team for any high value and urgent payments.
