Job Description

We are looking for an Admin Associate for one of our leading client at Thiruporur Chengalpattu DT.

  1. Physical Security To ensure utmost physical security is provided at all facilities and security policies are implemented at all locations.
  2. Housekeeping Ensure all the facilities are well maintained by best housekeeping practices and good manufacturing practices are followed.
  3. Canteen Management To ensure that canteen/kitchen/dining hall is well maintained as per good hygienic standards. Also to ensure quality and healthy food is provided to employees. Reviewed policy on Canteen.
  4. Vendor Management Identifying suitable vendors for various supporting activities like security, housekeeping, transportation, hotels, stationery, travel agents, tele operators, etc. Negotiating for best rates, quality of work and ensuring the SLAs are met on time.
  5. Annual Maintenance Contracts – Entering into various AMCs, renewals of contracts, repairs & maintenance of office equipment etc.
  6. Meetings & Conferences – Facilitating the needs and ensuring that meetings/conferences are help on time without any hustles.
  7. Travelling Support – Booking of tickets (flight/train/bus/car)
  8. Accommodation – Hotel room reservations or at guest house
  9. Tele Communication Support – Mobile/landline/data cards/Matrix cards
  10. Hospitality – Receiving guests/customers/clients/auditors and taking care of their needs as and when required.
  11. Employee Transportation – To ensure employees are being transported to & fro from the pickup point to office & back as per approved routes.
  12. Front desk & Reception – Day to day operations of front desk/reception desk.
  13. Company owned vehicles – Deployment of drivers and allotting of company owned vehicles. Maintenance of company owned vehicles.
  14. Guest House Management
  15. Office Boys & Pantry Boys – Deployment of office boys and pantry boys. Regular training on best practices at frequent intervals.

16. Courier Management – Facilitating and ensuring that couriers are received and sent through appropriate vendors. Maintaining a record of the same.

17. Miscellaneous Procurements – Understand the requirement of various departments and make procurements as per the requirement.

  1. Automation of Office – Involve in automation of Office requirements e.g. Visitor’s Management System and web based Facility Management Services.
  2. Modification of Office – As per the office needs take up modifications of office premises.
  3. Space Management/New Office – Involve in identification of space management within the office (seat allotment) and assist in identifying new suitable office premises.
  4. Cafeteria Management - Facilitating cafeteria at suitable locations and ensuring that all the required consumables are available at all times.
  5. Liaison with Govt Authorities – To ensure effective liaison with various government bodies in the interest of the organization.
  6. Audits – Involve in various audit preparations to ensure that organization is clearing the audits in all the aspects.
  7. Raising of PR & PO – Ensure that requisite PR’s are raised on time and to follow up till the POs are cleared for all the purchases made by Admin.
  8. Entry & Exit Procedure – Ensure that all the facilities are well maintained and employees are adhering to the Entry & Exit procedures.
  9. GMP Linen/PPEs – Ensure that washing of GMP linen/PPEs are in done as per policy.
  10. Reports & Presentation – Ensure timely submission reports and presentation of Admin related activities to the higher management.
  11. Budget – Submission of budget planning and work towards savings.

29. Policies – Reviewing of various policies on Admin activities and ensure its implementation

30. Contract Labour Management – Day to Day manpower arrangements with proper training.

31. Compliance – Govt Statutory process to be processed.
