As an Administrative Specialist at Grey Eminence Capital Funds, you will play a crucial role in providing comprehensive administrative and operational support to our team. Your attention to detail and organizational skills will be essential in ensuring the smooth functioning of daily office activities. **Role Overview:** You will be responsible for greeting and assisting clients in a professional manner, whether in person, over the phone, or via email. Your duties will also include scheduling meetings, maintaining calendars for financial advisors, and handling client documentation such as applications and compliance forms. Additionally, you will be tasked with maintaining accurate client records, handling data entry for financial systems, and monitoring deadlines to ensure efficient workflow. **Key Responsibilities:** - Greet and assist clients with professionalism and discretion - Schedule meetings and maintain calendars for financial advisors - Prepare and process client documentation - Maintain accurate client records and ensure regulatory compliance - Handle data entry for financial systems - Monitor deadlines and follow up on outstanding items - Assist in on-boarding new clients and maintaining engagement workflows - Coordinate logistics for meetings and prepare presentation materials - Manage general administrative tasks such as ordering office supplies and handling invoicing - Ensure adherence to company policies and compliance guidelines - Respond to and manage incoming and outgoing communication - Take dictation and minutes accurately - Develop and maintain an efficient documentation and filing system **Qualifications:** - Bachelor's degree in business, finance, or related field preferred - 2+ years of experience in an administrative or support role within financial services - Strong organizational and time management skills - Excellent communication and interpersonal abilities - Proficiency with Microsoft Office Suite and financial CRM systems - Familiarity with financial compliance regulations is a plus - Ability to handle confidential information with integrity and discretion Join us at Grey Eminence Capital Funds and be part of a dynamic team dedicated to providing exceptional financial services to our clients.,
