Key Responsibilities:

Bill Punching & ERP Management

  • Accurately process bills and data entries in the ERP system along with the team to ensure smooth operations and maintain timely updates.

Procurement and Distribution

  • Oversee the timely procurement and distribution of housekeeping materials and water supply for both headquarters and site locations.
  • Maintain accuracy and consistency in stock tracking, ensuring all office materials are accounted for.
  • Handle shifting and replenishment of office materials as required.

Reception Management

  • Manage the reception area in the absence of the Front Office Executive, ensuring a welcoming environment for visitors and callers.

Office Upkeep and Maintenance

  • Ensure the cleanliness and maintenance of office premises, keeping the work environment organized and functional.

Employee Onboarding

  • Coordinate with the HR team to arrange joining kits, ID cards, visiting cards, and any for new employees.
  • Manage the issuance of SIM cards for new joiners by coordinating with the internal team.

Coordination of Office Staff and Pantry Operations

  • Ensure smooth coordination with the Office Assistant and Pantry Staff to meet requests from both the headquarters and site staff.
  • Oversee the timely arrangement of evening snacks for the headquarters on Wednesdays and Saturdays.

Event Coordination

  • Act as the point of contact for executing various internal and external events organized by the Admin team.
  • Ensure proper logistical coordination and support during events.


Required Skills and Qualifications:

  • Experience

    : 2 to 5 years of administrative experience, preferably in a real estate setting (real estate background is a plus).
  • Technical Skills

    : Proficiency in MS Excel, ERP systems, and other office software.
  • Coordination & Communication

    : Strong coordination skills with a proven ability to work cross-functionally with different teams.
  • Attention to Detail

    : Ability to maintain accuracy in tracking and managing supplies, as well as ensuring timely execution of tasks.


Additional Advantage:

  • Prior experience in a real estate environment will be an added advantage.
  • Good interpersonal skills to engage with both internal teams and external stakeholders.
